We are a fast-paced consulting firm that values initiative, creativity, self-motivation, and results. We have an immediate opening for an experienced Office Receptionist in our Chicago, IL office.
Job Description:
As the Office Receptionist, you will be the first point of contact for our firm. You will be responsible for handling front office administrative duties, answering phones, handling company inquires, and greeting and directing guests. The Office Receptionist is part of the Administrative Team and will work closely with our interns, HR, operations department, and accounting department, as well as provide administrative support to the company. Primary responsibilities include, but are not limited to:
- Demonstrate competence and courtesy when greeting the public and referring them to the appropriate staff members
- Answer phones and direct all incoming calls to appropriate party promptly and efficiently
- Answer inquires about company as necessary
- Assist with coordinating office activities and company events
- Coordinate mail flow in and out of office
- Prepare and mail invoices for services rendered
- Make coffee and maintain office cleanliness by keeping common areas clean, such as kitchen, conference rooms, reception, and supply rooms
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
- Assist with scheduling meetings and conference room reservations
- Maintain appropriate interpersonal relationships with interns, colleagues, and clients
- Perform administrative duties and ad hoc requests as needed. Responsibilities may include travel arrangements, input of expense reports, order lunches, etc.
Job Qualifications:
Skills and Abilities
- Experienced in a multi-line phone system
- Proven ability to maintain multiple tasks and projects in a timely manner
- High level of professionalism and strong communication skills
- Proficient in Microsoft Office including Outlook, Word, Excel, and PowerPoint
- Strong organizational skills and attention to detail
- Physical capability to lift up to 15 -20 pounds
- Extremely reliable and consistent
Education and Work Experience
- Bachelor’s degree preferred
- 2-4 years' experience as a receptionist or office assistant in a professional setting
