Summary

The Operations Coordinator is an invaluable member to the CIS of Memphis team - responsible for providing operational support. Operations is an encompassing role with job functions in the following areas: administration, operations, data, communications, finance, governance, and events.

ESSENTIAL JOB FUNCTIONS

1(link removed) Human Resources

  • Monitor human resource functions across the organization
    • Onboarding and offboarding of CISM personnel
    • Updating CISM policies & procedures in compliance with state and federal laws
    • Serving as the liaison for HR firm
    • Creating and monitoring implementation of CISM playbooks
    • Creating, preparing, and filing CISM documents- digital and physical files
    • Assisting with performance review processes and related professional development

2. Administration

  • Serve as an administrative resource for the Director of Operations:
  • calendaring/meeting/event planning;
  • preparing and filing documents;
  • supporting with new hire and existing processes,
  • making travel arrangements when applicable;
  • organizing office space and ordering office supplies as needed

3. Affiliate Operations

  • Serve as the initial point of contact, answering calls and directing them to appropriate staff
  • Support IT with maintaining technology inventory
  • Maintain records for our day-to-day transactions, route payments for processing and managing invoices
  • Serve as initial point of contact for affiliate storage units
  • Partner closely with data and development teams for various data-entry related projects

4. Finance & Development

  • In collaboration with key CISM team members, support the development of key reporting functions which includes acknowledgement letters and entries into donor database
  • Under the direction of Director of Operations assist with monthly Expensify reconciliation and reporting

5. Communications

  • Under the supervision of the Director of Operations and in collaboration with other communications team members, help create and execute CIS Memphis communications plan via special projects and tasks.
    • Live Streaming of CIS Memphis Events when applicable across social media platforms
    • Interacting and re-sharing content of partners across social media
    • Serve as a point of contact and liaison for affiliate photography

6. Board

  • Manage tasks/duties associated with board meetings as well as logistics and organization of these meetings

Education/Prior Experience

  • Bachelors degree preferred, or demonstrated relevant equivalent experience in operations, education, business or related field
  • Must have a valid drivers license
  • Experience working in event planning is a bonus
  • Experience with Microsoft Office tools required
