Vasion is looking for an experienced, highly detail oriented People Operations Specialist to join our friendly dynamic team. As a motivated People Operations Specialist you will have a strong understanding of HR processes, systems and compliance. This role will be responsible for maintaining the HRIS system, HR reporting and analytics, as well as providing general HR operational support and compliance.


Responsibilities

    Analytics & HRIS (50%)

    • Support all aspects of HRIS (BambooHR), including data input, integrity, configuration, testing, custom workflows, system updates and identify and address issues and concerns
    • Collaborate with the People Ops team to design, test, and implement HR system upgrades and new functionalities.
    • Maintain and record HR compliance, mandatory reporting, HR standard operating procedures (SOP) and implement best practices to improve HR operations processes
    • Support the People team by compiling and analyzing data for a multitude of people surveys.
    • Support ad-hoc projects such as integrations, reporting trends and cross functional department initiatives.
    • Coordinate efforts with the BI team in supporting dashboards to be shared with leadership.
    • Assist with preparation for annual HR programs such as promotions, status changes, wage adjustments, compliance reporting, and open enrollment, including gathering documentation and configuration updates
    • Conduct regular analysis of the company's HR systems and processes, identifying areas for improvement and making recommendations for optimization and efficiency.
    • Gather benchmark data about jobs, compensation and benefits, identify gaps and trends
    • Provide ongoing support to employees and leadership regarding People Operations processes, policies, paperwork, and technical support for our People Ops Platforms.
    • Keep a regular pulse on HR compliance and employment law updates statewide and nationally and process policy changes and document accordingly.

    People Ops Administration and Compliance (50%)

    • Work closely with Director, People Operations with compensation and benchmarking initiatives
    • Lead compliance & regulated reporting projects including but not limited to EEO-1, ACA, OFCCP, AAP, and other federal reports, 401K and other internal audits, benefits renewal, etc.
    • Key HR representative in providing requested documentation for security compliance audits.
    • Pull and analyze utilization of company benefit plans, identify gaps and trends, assist with open enrollment reporting and updates to current premium rates.
    • Coordinate efforts with HR Generalist to monitor the People Ops Inbox to ensure emails are routed, employees are promptly responded to and issues are resolved in a timely manner.
    • Manage unemployment claims and applicable court orders as needed.
    • Monitor and analyze changes in state and federal laws to ensure compliance.
    • Perform other duties as assigned to support the People Team initiatives.

Requirements

  • College degree or equivalent work experience
  • 3 years of experience in HR administration, including HR systems, analytics and compliance.
  • Strong attention to detail, and prioritize accuracy, quality, and thoroughness in your work.
  • Excellent verbal and written communication skills, and an ability to engage employees and vendors effectively during projects and implementations. (i.e you can quickly write emails that are friendly, clear and concise)
  • Must have exceptional knowledge of local, state and federal employment laws.
  • A data-first mindset with a passion for data accuracy and hygiene, clear processes and compliance.
  • Strong problem solving, reporting and analytical skills.
  • Skilled in Microsoft Excel and Google Suite.
  • Discretion, sensitivity, and confidentiality. Demonstrated ability to listen, analyze and inform appropriately while maintaining the required sensibilities in handling confidential information.
  • Comfortable asking questions and seeking out resources that could help provide more insight or information.
  • Fast learner. Entrepreneurial. Self-directed. Excited to build something from scratch.
  • Gritty. You dont shy away from solving problems and working hard when you need to.
