Arena Investors, LP is a global investment management firm that seeks to generate attractive risk adjusted, consistent and uncorrelated returns by employing a fundamental based, asset-oriented financing and investing strategy across the entire credit spectrum in areas where conventional sources of capital are scarce. Arena is looking to expand the team through the addition of an Administrative/Personal Assistant for our NYC and Westchester offices. This is a hybrid role and days will fluctuate between the two offices and work-from-home. In this role, this individual work with the Executive Assistant to support the CEO and provide back up support to the Arena executive team. Ideal candidates will be organized, self-motivated, resourceful and able to work effectively with all internal functional groups. Responsibilities: Assist the EA with day to day responsibilities and ad hoc projects Answer incoming calls using a multi-line phone Run errands for the office and family Schedule meetings, travel and create itineraries Draft documents and fill out forms Organize receipts and create expense reports Set up conference rooms for meetings Conduct research, prepare presentations and spreadsheets, and assist with other administrative projects and personal asks Cover for reception when current EA at reception goes on break or is out on PTO Answering phones and taking messages Greeting guests, offering drinks, setting up the conference room Maintain and supply room including filing, organizing, restocking, etc. Maintain kitchen, including restocking fridge, running dish washer, keeping counter and machines clean Ship packages via FedEx, USPS, UPS or Messenger service RequirementsThe individual will have demonstrated an ability to work in a fast-paced, performance-driven environment with an ability to think broadly about the business, incorporating continual improvement of processes and procedures with a goal of excellence while focusing on accuracy and efficiency. Bachelors Degree Experienced in Microsoft Office products including Outlook, Word, Excel and Powerpoint Dependable and punctual Excellent communication and organization skills Self-starter, goal oriented and high level of energy At least 3 years of experience working in a professional office environment A positive attitude, strong work ethic and a desire to work collaboratively across the organization. Strong attention to detail.
