We are searching for an experienced, proactive, and resourceful Personal Assistant to provide comprehensive support to our dynamic family. This role requires exceptional communication, organizational, and problem-solving skills, along with a positive attitude and emotional maturity.

Responsibilities:

- Property management: Overseeing home remodels, managing vendors, and controlling household stock and inventory.

- Calendar management: Creating and maintaining various home calendars, scheduling personal appointments, and coordinating with household staff and external contacts.

- Travel coordination: Meticulously arranging personal travel, considering preferences for accommodations, car service, flights, and ensuring all necessary travel documents are prepared.

- Collaboration and communication: Working effectively and respectfully with family members, household staff, and personal contacts to ensure smooth operations.

- Event planning: Planning, managing, and organizing high-end events, such as dinners, birthdays, and fundraisers.

- Research and sourcing: Identifying innovative home equipment, experiences, and local charities to support.

- Errands and coordination: Running errands, coordinating meals, managing health and wellness appointments, and assisting with various tasks.

- Contact management: Managing family contacts, holiday cards, and gifting.

Requirements

- Minimum 1+ year of experience as a personal assistant, office manager, or estate manager (experience in project management, construction, or event planning is a plus).

- Consistent work experience of 2+ years (please explain any resume gaps, if applicable).

- Bilingual: Proficiency in English or Spanish is strongly preferred.

- Proficient in Google Suite (Gmail, Docs, Sheets, Slides) and familiar with Mac OS and iPhones.

- Experience with international coordination, handling multiple time zones, travel arrangements, and scheduling.

- Tech-savvy with a quick learning ability and ability to troubleshoot independently.

- Flexible availability, including occasional weekends and evenings for events, and being reachable by phone or text after hours if needed.

- Willingness to occasionally travel to set up summer or winter homes prior to the family's arrival.
