Position: Postcard Program Manager

Position Summary:
Postcards to Swing States recruits volunteers nationwide to write handwritten postcards to rally Democrats to vote. We work with volunteers and staff in our Illinois office/warehouse to pack and ship postcard orders to tens of thousands of volunteers. Since 2020, we have organized over 43 million postcards to voters.
Reporting to the Program Outreach Director, the Postcard Program Manager will manage and help execute our Postcards to Swing States program in 2024. The manager will supervise several Organizers, as well as in-office volunteers who pack and ship postcards to volunteer writers around the country. They will oversee timely responses to thousands of email correspondence from volunteers. They will coordinate the processing of hundreds of daily orders, prioritize tasks for the team, troubleshoot exceptions, conduct training, create weekly metrics reports, and more. The Manager will work alongside Organizers to process orders, print labels, set up workstations, receive inventory and all other routine tasks.
This is a full-time fully in-person position based in or near Downers Grove, Illinois. Compensation offered will be commensurate with relevant experience. This position is eligible for benefits, including employer-sponsored health, dental, and vision insurance, FSA, 401(k), student loan stipend, public transportation stipend, and paid time off.

Responsibilities:
- Train and manage several Organizers, while overseeing daily tasks and volunteers
- Oversee order processing, the physical distribution of postcard orders, and volunteer email correspondence workflows
- Track important program metrics and create weekly reports
- Purchase supplies, ensure the postcard office is equipped and stocked, and submit expense reports
- Keep the Program Outreach Director informed about overall program progress and escalate issues that arise
- Develop training materials and roll out best practices to team members and volunteers
- Assist with volunteer workstation setup and moving materials and packages
Required Qualifications (You will be a good fit if):
- Five or more years of previous relevant work experience (for example in customer service, logistics, or political campaigns)
- Two or more years of people management experience in a fast-paced environment (such as customer service, logistics, or political campaigns)
- Strong verbal communication, organizational, and problem-solving skills
- A passion for volunteers and progressive grassroots activism
- Familiarity with spreadsheet filters and sorting functions
- Able to lift and move boxes up to 40 lbs., push carts, and similar material handling tasks
