The Program Administrator is responsible for supporting Program Managers in their activities and tasks. This individual will report to the Director of a Region in the PM Department and will perform duties as assigned associated with data entry for programs and administrative tasks as assigned by the Director. This individual oversees all data preparation and collection for assigned projects; including but not limited to parts ordering, invoicing, cash collection as well as data relevant to a program entered in the central repository for data sharing. They are responsible to ensure data integrity for the given programs they are working and to ensure the data is continually updated and maintained. The Program Administrator will be expected to interface with other members of the Program Management Department on an ongoing basis to ensure proper programmatic transactions can be made. Duties and Responsibilities: - Administrative support to the Director of a Program Region; activities include but are not limited to scheduling meetings and associated meeting items (food and support items), travel support administration, and action item tracking for the region
- Data collection and entry into internal systems for program part ordering, shipping, and invoicing
- Data collection and entry into internal systems for Program Master Data Management
- Interfacing with Program Department Program Analyst for part tracking for assigned programs
- Interface with customers for Purchase Orders, Shipping Parts, Invoicing and Cash Collection
- Track and resolve issues on assigned programs relative to Customer Fulfillment and Finance to include ECOs and any other item that can delay shipments
- Prepare customer reportings, review and ensure data integrity with internal stakeholders, and augment reports before sending to customers
- Prepare list of customer purchase orders and contact customers for Purchase Order status
- Review the accuracy of POs and contact customers if corrections are needed
Requirements - Bachelors Degree or equivalent experience in a related field
- 0-3 years of experience working in a similar role
- 2-3 years of professional work experience
- Experience with data integrity and data preparation
- Experience communicating with customers
Benefits The starting pay range for this position is $65,000 to $87,000 per year however, base pay offered may vary depending on skills, experience, job-related knowledge and location.
