JOB DESCRIPTION

TITLE: Project Coordinator

JOB OVERVIEW: The Project Coordinator (PC) will support the PMO Program/Project Managers through large complex projects by performing administrative tasks as well as develop and maintain project documents.

DEPARTMENT: IT Project Management

WORK HOURS: Typically, Monday - Friday; hours may vary occasionally to meet department needs.

REPORTS TO: Supervisor, Project Management.

PREREQUISITES:
  • Minimum of an Associate's degree, or equivalent. Bachelor's degree, preferred. Additional relevant and applicable work experience may replace degree requirement.
  • Two years of college in a relevant course track or completion of an accredited administrative assistance program
  • Minimum years' experience in an administrative and/or Business analyst role or similar, required.
  • Previous experience working in a PMO environment with an established Project Management Methodology, preferred.
  • Strong organizational and problem-solving skills
  • Excellent computer skills and typing skills, including experience with Microsoft Office applications, MS Project, SharePoint and Visio.
  • Strong written and verbal communication skills.
QUALIFICATIONS:
  • Ability to work independently and in teams with good problem solving, communication, business analysis and organizational skills.
  • Diligent, results-oriented work habits.
  • Ability to set priorities, produce accurate work, and meet deadlines (link removed)

PERFORMANCE RESPONSIBILITIES:

  • Essential Responsibilities and Competencies:
  • The Project Coordinator coordinates administrative activities in support of the IT Project Management Office (PMO) and Project Managers. Serves as the main point of contact for all PMO customers.
  • Support the PMO and Project Managers with a variety of administrative tasks, including scheduling meetings, conferences; composing memos, reports, and minutes; and maintaining issues logs and project plans.
  • Establish and maintain PMO files in database form.
  • Work with Project Managers to track and collect deliverables throughout the project life cycle including documentation of current and future state workflow diagrams using Visio.
  • Triage and respond to requests for information, assistance, and project management tools from PMO customers.
  • Produce special and recurring reports.
  • Support PMO management in process of reviewing project priorities and scheduling.
  • Assist Director, Supervisor and Project Managers with special projects.
  • Document management and maintenance including version control and sign off on SharePoint site.
  • Tracking and follow up from business work teams.
  • Assist in preparation for project status reports.
  • Participate in project team meetings.
  • Other duties as assigned by the PMO Director or Supervisor.
