Were looking for a proposal coordinator to support Business Development efforts and ensure that all administrative tasks are completed in an organized and timely manner. This role will be a critical asset in ensuring that proposal deadlines are met, organization of proposal documents and deliverables are maintained, and coordination all aspects of the of the proposal lifecycle are successfully accomplished.

  • Travel/Location: Remote with up to 10% travel/deployment possible.

Responsibilities

  • Tasks, Duties and Responsibilities:
    • Coordinate and organize competitive proposal efforts, qualifications packages, and presentations.
    • Maintain and update SalesForce, our company's Customer Relationship Management (CRM) database.
    • Check on statuses of proposal submissions and updates as needed and provide updates to Senior leaders, marketing and Business Development team.
    • Work closely and collaboratively with Business Development staff, Marketing & Communnications staff, and other members of the proposal team.
    • Coordinate all administrative activities, including production and/or shipping orders, as well as selecting and scheduling key services with necessary Courriers and print shops.
    • Support team by tracking capture stages and proposal-related strategic review statuses for the business development team.
    • Manage scheduling, coordination or meetings, calendars for business development and proposal activities.
    • Complete necessary and required business/proposal forms and ensure insurance and all regulatory proposal and contract requirements are met in coordination with administrative staff.
    • Coordinate and provide company's responses to government requests for proposals, including organizing the development team, establishing timelines, and ensuring compliance with all requirements.
    • Conduct market intelligence and BD research, as needed for proposal coordination.
    • Follow up with subject matter experts (SMEs) to collect and compile necessary information and data for proposal development.
    • Edit written content for proposal submissions, including abstracts, executive summaries, and management plans. Creating and editing graphics and visual aids to support and enhance proposals.
    • Maintain and update the master proposal library for the company.
    • Conduct FOIA requests, as well as client outreach regarding debrief meetings, post selection/award, to receive scoring/ranking information and client feedback.
    • Support proposal managers during the solicitation evaluation and qualification process, as well as contribute to the proposal scheduling, development, and coordination of the final proposals.
    • Participate in capture meetings, BD meetings, including formalized win strategy sessions.
    • Populate and maintain pursuit-specific tools such as the compliance matrix, style guides, and agendas.
    • Assist in review of company's proposals to ensure responses satisfy all RFP requirements.
    • Research and collect data.
    • Expertly formats documents.
    • Extreme attention to detail used to review documents for compliance.
    • Assists Proposal Manager in keeping on schedule, tracking deadlines, etc.
    • Submit company's questions in advance of solicitation Q&A deadlines.
    • Coordinate company's response to solicitation data calls from teaming partners that we are supporting. In addition, support the development of and submission of company's data call to subconsultant teaming partners on proposals we are priming.
    • Assists in final proposal production.
    • Utilize GovWin to identify, track, and share solicitation opportunities of interest to the company.
    • All other duties as assigned.

Requirements

Knowledge. Skills and abilities:

  • Strong writing and editing skills (including grammar and punctuation).
  • Strong attention to details.
  • Ability to multitask, be proactive, work independently or in a team setting and establish priorities.
  • Demonstrated track record of meeting deadlines and administration excellence.
  • Excellent conceptual, problem solving and analytical skills.
  • Demonstrated ability to handle urgent proposal delivery deadlines and remain flexible if priorities change quickly at the last minute.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and Adobe Creative Suite.
  • Ability to work collaboratively with teams and individuals.

Required Qualifications:

  • Bachelor's degree in business administration, communications, or a related field.
  • 1-3 years of experience in proposal coordination or development.
  • Knowledge of and experience with government contracting processes and procedures.
  • Excellent writing, editing, and verbal communication skills.
  • Strong organizational skills and the ability to oversee complex projects and timelines.
  • Detail-oriented and able to ensure compliance with strict proposal requirements.
  • Proficiency in Microsoft Office suite, including Word, Excel, and PowerPoint.
  • Experience navigating government procurement sites.

Preferred qualifications:

  • Proposal coordination experience with consulting firm directly related to the emergency management/disaster recovery field.
  • Prior proposal experience with writing and coordinating proposals for government clients (e.g., local, state, and/or federal governments).
  • Experience with Salesforce or other recognized CRM systems.
  • Experience utilizing GovWin to support BD.
  • Experience maintaining and managing data calls with teaming partners.
  • Experience managing proposal final production (electronic and hardcopy) and submission to client.

Physical Demands:

  • May require sitting or standing at hours for a long period of time.
  • Mobility around client sites necessary.
  • May require long hours at a computer.
  • Ability to lift up to 30 pounds repetitively as needed.

Work Environment:

  • Home Office unless required to attend meetings at a client site or deployed to a client site.
  • Deployment may require work in austere locations and various weather conditions.
  • All ACDC positions are remote work site positions with the home location agreed upon at time of hire.
  • All ACDC positions require travel to client sites or for emergency activations/deployments, as requested.

Additional Qualifications:

  • Must be 18 years of age or older.
  • Must pass background check upon offer of employment.
