  • Cover Reception area duties include: Answering phone, Greet Visitors, updating calendar arrangements, notifying Agents when packages have arrived, emailing office regarding unclaimed commission checks, updating office directory, updating office floor plan; reviewing licenses and continuing education for filing. Making sure the front desk and all conference rooms are fully organized and ready for meetings.
  • Create a collaborative environment as a liaison between Agents and Departments within the organization, including Accounting, Marketing, Human Resources, etc.
  • Accurately type, prepare and coordinate copying of board packages as instructed by Agents.
  • Provide administrative support to Agents, which includes generating exclusive agreements, extensions, leases, riders, letters, deal summaries, commission bills, dividers; as well as, copying, faxing, assisting with mailings, etc.
  • Ensure consistency and standards are met on all work products.
  • Assist with special projects as needed.
  • Knowledge of the Listings Database; how to enter listings, update Open Houses, conduct price adjustments, and alter web or online alterations.
  • Order Supplies.
  • Restock supplies.
  • Ensure office is well organized
  • Accurately prepare and copy board packages as instructed by Agents.
  • Provide administrative support to Agents, which includes generating letters, assisting with mailings, etc.
  • Assist Agents with uploading photos for their listings, running credit reports, and responding to general client inquiries.
  • Proof read all deliverables, communications, etc.
  • Ensure consistency and standards are met on all work products.
  • Maintains the Agent mailbox directory.
  • Provide back-up administrative support.
  • Order Supplies.
  • Restock and organize office supplies.
  • Assist with special projects as needed.

Requirements

  • Professional and courteous demeanor with exceptional communication, customer service and interpersonal skills required.
  • Must possess a high degree of proficiency with MS Office products including Word, Excel, Access, Power Point, PDF Converter, and Outlook.
  • Ability to learn and demonstrate excellent working knowledge of Real Plus, Data Entry.
  • Strong organizational/time management skills required. Ability to handle multiple tasks simultaneously and meet designated deadlines.
  • Associates or Bachelors degree preferred.
  • Must be able to maintain the highest level of confidentiality.
  • Ability to handle sensitive material concerning the organization.


This job is Saturday and Sunday, with an additional two weekday days (weekdays flexible).

$20/hour
