Administrative Support Specialist

Clearance Requirements: Tier 1 Background Investigation (Standard Form 85).

Type of Employment:Full-Time, 40 hours per week.

Estimated Pay: $27.57/hour.

Paid Time Off: Two (2) weeks PTO after 1 consecutive year(s) of service to begin accruing

from day of hire.

Sick Leave: Sick Leave accrued one (1) hour per every thirty (30) hours worked, up to fifty-six

(56) hours annually.

Summary of Services

The Administrative Support Specialist will support the Occupational and Environmental Health Technical Operations Division, U.S. Air Force School of Aerospace Medicine (USAFSAM) that provides oversight and direction for the department's business operations to include management and administrative functions, manpower, budgets, logistics, strategic planning, workflow processing, task management, and equipment. This division is also responsible for the Air Force Environmental, Safety and Occupational Health (ESOH) Service Center operations, which provides occupational and environmental health consultation, risk communication, and technical support to Air Force operations worldwide. In-addition, the division manages the Air Force-wide Proficiency Analytical Testing (PAT) program, Defense Occupational and Environmental Health Readiness System (DOEHRS), and Hazardous Materials Information Resource System (HMIRS) programs.

Qualifications

  • Have ten (10) years of administrative support experience.
  • Have excellent writing and verbal communication skills.
  • Be proficient in all applications of Microsoft Office products including Word, Excel, Outlook, PowerPoint, and Document publishing.

Highly Desired Qualifications

  • Prior experience working in and/or knowledge of Occupational and Environmental Health.
  • Bachelors degree is highly desirable.
  • Administrative support experience in a Department of Defense environment.
  • Experience using Microsoft Access

Duties and Responsibilities

  • Provide support with the administration and management of personnel activities and programs.
  • Assist the Government in performing a variety of administrative tasks in support of the day-to-day oversight and management of administrative duties for USAFSAM/OE to include recording meeting minutes and preparing them in written computer typed format; scheduling activities; assembling and coordinating documents, packages and other similar products; preparing presentations, and other administrative duties as assigned.
  • Assist in compiling and preparing OEH trend analysis data harvested from various data sources for presentation in an organized fashion to highlight key points and trend data over time.
  • Update and edit organizational operating instructions based on input from subject matter experts.
  • Participate in special initiatives, studies and projects. Work with Subject Matter Experts (SME) in planning and conducting special initiatives, studies, and projects. Collaborates with SMEs and leadership to generate reports, briefings, and workflow tasker responses. Monitors progress and ensures communication of the OET division principles to branch chiefs and team leads.
  • Maintain and update documents and information on OEs USAFSAM-hosted content management systems sites, such as SharePoint, to ensure currency of documents (metrics, guidance, projects, audit references, and other resources).
  • Manage role assignments and access to HPWS-hosted web-based software packages such as the Program Maturity Audit System (PMAS) and the Program Management Review (PMR) tool.

Coordinate and distribute hard-copy reference materials and technical guidance to installations across the Air Force in support of site visits
