What you will be doing:

This Administrative Assistant 1 position serves as lead administrative support for the Immunization Program. Providing advanced level support for multiple programmatic areas and activities to enhance the work of the Immunization Program Manager, Deputy Program Manager, CDC Public Health Advisor, three Health Program Manager 2 positions, and other professional staff. Specific functions include invoice processing, employee and non-employee travel, technical health data entry, preparing reports, memos, charts, spreadsheets, graphics, correspondence, property inventory and procurement, and advanced technical activities, including perinatal hepatitis B surveillance reporting, Immunization Information System (IIS) known as VacTrAK support, and school and childcare compliance reporting.

The mission of the Division of Public Health is to protect and promote the health of Alaskans. The Section of Epidemiology keeps Alaskans safe from communicable diseases and injuries, as well as environmental, occupational, and other health hazards.

The Alaska Immunization Programs mission is to prevent and control vaccine-preventable diseases by:

  • Providing vaccines to health care providers at no charge.
  • Providing an immunization information system for use by healthcare providers and schools to maintain consolidated immunization records for Alaskans of all ages.
  • Ensuring school and childcare compliance with immunization regulations.
  • Providing immunization education and training for health care providers and the general public.
  • Coordinating surveillance and control efforts for vaccine-preventable diseases; and
  • Supporting efforts to increase vaccinations for all Alaskans.

This position is located on the 5th floor of the Frontier building in Anchorage at 3601 C Street. The office is situated with views of the Chugach Range, Mt. Denali, and the Cook Inlet, with Cuddy Family Mid-Town Park nearby. There is ample covered parking, a high level of building security, ample vending machines for drinks/snacks, and nearby restaurants and stores. The working environment and culture are friendly, flexible, and supportive, and staff are currently working hybrid schedules (remotely and in the office).

(link removed) months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.

OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)

Special Note:
Examples of advanced clerical experience include:

-Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
-Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver's License (CDL).At the time of the interview, please provide the following:
