Job Title: Administrative Assistant

The West Central Association - Chamber of Commerce (WCACC) is seeking a dynamic and organized individual to fill the role of Administrative Assistant. As a key member of our team, you will play a vital role in supporting our growing membership base and fostering a stronger sense of community within our organization. The Administrative Assistant will report to the Director of Operations and President, providing essential administrative support to various committees that align with our mission.
Responsibilities:
- Membership Communication:
- Act as the front line of communication for members, addressing calls, emails, and providing timely follow-up.
- Cultivate a positive and engaging atmosphere to encourage member involvement.
- Administrative Support:
- Provide scheduling and administrative assistance to the Executive Director, President, and committees.
- Assemble and distribute meeting agendas, record meeting minutes, schedule meetings, and assist with event preparations.
- Manage all invoicing and accounts payable/receivable.
- Maintain an organized filing system for both paper and electronic documents.
- Database and Calendar Management:
- Update and organize databases and calendars.
- Streamline filing systems and workflow processes.
- Event Support:
- Assist with the planning and execution of WCA's events, including post-event follow-up.
- Oversee event registration and invoicing.
- Marketing and Communication:
- Post content to the WCA website and social media platforms.
- Manage email marketing initiatives, curating both original and relevant content.
- Financial Coordination:
- Organize monthly financial documents for the bookkeeper.
- Assist with the preparation of documents for tax filing and other vendor requirements.
- Vendor Management:
- Manage relationships with external vendors.
- Qualification/Knowledge Required:
- Bachelor's degree or equivalent combination of education, training, and 3-5 years of work experience (non-profit experience is an asset).
- Proficiency in Google Workspace, MS Office applications, and online software applications (Hubspot, Squarespace/Wordpress, Constant Contact).
- Familiarity with business, economic, and commercial development issues.
- Strong interpersonal skills, with the ability to work in group settings.
- Excellent written and verbal communication skills.
- Quickbooks and online tools proficiency.
- Ability to think creatively and articulate ideas effectively.
- Ability to work independently and manage projects with multiple components.
Bonus Skills:
- Adobe Creative Studio, Canva, Quickbooks.
Salary:
- $40,000 - $50,000, commensurate with experience and qualifications.
