Operations Manager

The Operations Manager is the point person for all physical and digital operations at our fast-paced creative studio. This position is the bridge between multiple departments. It touches on every aspect of what we do, from on-site operations to support for our remote teams, workstations, equipment checkout, and tracking to communications with landlords, management, vendors, and suppliers. Alongside the staff producers, the operations manager will organize and oversee select outreach to freelancers and help manage resource holds databases.

Strong technical skills are essential to this role. You must have experience using administrator dashboards to manage all aspects of our SaaS tools, including logins and credentials for various software suites, onboarding, and offboarding team members, including frequent freelancers and temporary accounts. You must be comfortable and confident with all aspects of computers and simple small studio networks. In this role, you will evaluate, maintain, and create best practices manuals and update and maintain working documentation for production and internal teams around operations.

This position will report directly to the Managing Director. It will work collaboratively with the creative, production, and post-production teams and partner with the accounting department for operations-related budgets and expenses.


Salary Range:

$70,000 - $90,000

The salary spread will be determined by the level of experience and years in a similar role and applicable experience to our industry. While agency and studio experience is not a requirement, it is a vital asset in this role.

Managing Daily Operations and Team Logistics

  • Liaison with building management and outside vendors about all maintenance needs. Ensure studio and remote office are maintained to company standards and all issues are addressed promptly.
  • Shipping and receiving lead.
  • Digital Accounts Management - Staff & Freelancers onboarding/offboarding
  • General SaaS Tools and Platform Assessment, Review and Research
  • Computers & Drives, physical tracking, lease tracking, check-in/out, MDM management.
  • Incoming Cold Calls and Emails to general lines
  • Kitchen and Crafty General oversight and delegation
  • Hotel Desk Assignments and Scheduling
  • Office / Shared Room oversight and scheduling
  • Maintain Best Practices Manuals - in conjunction with production teams.
  • Overhead Operations Budget Review and Approvals
  • Operations-related invoice and bill payments review and interface with accounting
  • Maintain agency management software related to project milestones, staff timesheets, and project billing progress.
  • Freelance production and post team research/outreach
  • Freelancer Database Maintenance and Management
  • Booking Travel for Staff & Creative
  • Track PTO - all staff - interface with managers
  • Interface with Health Insurance Questions (direct staff to JustWorks)
  • Office event planning
  • Holiday schedule, office closings, and communications
  • Hybrid Schedule organization
  • Re-establish and manage the Internship Program.
  • Oversee processes to ensure ongoing compliance with all applicable national, state, and local employee regulations and laws on an optimal cost basis.
  • Create a clean and inviting atmosphere for all freelancers, clients, and staff.

Requirements

  • Bachelor's degree or equivalent work-related experience.
  • 5+ years of successful leadership, operations management, hands-on experience.
  • Previous management experience running a mid-sized office or studio.
  • Client oriented, and service-minded.
  • Strong problem-solving and excellent analytical skills.
  • Excellent verbal and written communication skills.
  • Must possess positive energy, management presence, and excellent coaching skills.
  • Excellent organizational skills and ability to function under time constraints and deadlines with attention to detail.
  • Demonstrated ability to make immediate independent judgment decisions and communicate them down and up the chain.
