The primary focus of the Event Manager is successful and innovative planning and execution of all programs and networking events for TSIAs semi-annual conferences. This role will also focus on sponsorship fulfillment, event strategy and design. We are looking for a dynamic, event professional to play a critical role involved in all aspects of event management. This role facilitates the internal and external support needed to ensure efficiently run event experiences for the TSIA community. This position collaborates closely with cross-functional teams at TSIA, including Partner, Membership Development, Member Success, Marketing and Product.

This role reports to and works directly with the Senior Event Manager to ensure innovative and successful TSIA conferences and special events.

This is a full-time position, with 100% company-paid Medical, Dental and Vision Insurance and matching 401K plan for employee. Position is 100% remote WFH but candidate must reside in San Diego, CA.

RESPONSIBILITIES:

  • Conduct event-related vendor research; acquire quotes to build proposals; coordinate logistics and staff; arrange accommodations, experiences, and meals to every last detail.
  • Create, develop, and execute experiences for executive and VIP events.
  • Identify partners and vendors to develop exclusive experiences.
  • Develop and maintain comprehensive event plans, timelines, and logistical outlines.
  • Deliver creative and innovative event experiences to engage and delight our attendees.
  • Collaborate with the Creative Director to design artistic elements, games, and challenges.
  • Plan, organize, and execute continuous networking events, Advisory Board Meetings, and any programs and special events during the conference.
  • Work with the PSM to fulfill any and all Partner add-on sponsorships that include programs or special events.
  • Coordinate and manage all aspects of event logistics, including logistics, communications, equipment, catering, audio-visual requirements, and on-site management.
  • Create and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  • Track expenses, negotiate contracts, and seek cost-saving opportunities without compromising event quality.
  • Create purchase orders and process payments to vendors.
  • Develop comprehensive event timelines and project plans to ensure smooth event execution and timely completion of all tasks.
  • Manage vendor and supplier relationships, including vendor selection, contract negotiation, and coordination to ensure high-quality services and timely deliverables.
  • Oversee event setup and breakdown, ensuring proper placement of signage, displays, equipment, and decorations.
  • Equip the internal teams with the appropriate event information needed for them to cascade to external stakeholders.
  • Analyze feedback, data, and metrics to measure event success, identify areas for improvement, and provide recommendations for future events.
  • Stay updated on industry trends and best practices, on emerging technologies in event management and effective activations., incorporating innovative ideas to enhance event experiences and effectiveness.


Requirements

QUALIFICATIONS:

  • A creative and proactive mind who likes bringing new ideas to existing projects.
  • Strong organizational, project and time management skills.
  • A sharp eye for detail and the ability to prioritize workload when overseeing multiple projects.
  • Excellent communication and interpersonal skills, with the ability to build relationships and collaborate with key stakeholders.
  • Creative thinking and problem-solving skills, with the ability to anticipate and mitigate risks, adapt to unexpected situations, and find innovative solutions.
  • Experience managing complex projects
  • Proficiency in the Microsoft Office suite.
  • Ability to work under pressure and remain composed in high-stress situations.
  • Flexibility and adaptability to changing event needs and last-minute adjustments.
  • Knowledge of event production, event management, audiovisual, Food & Beverage, and technical requirements.
  • Superior analytical skills that include the ability to see the many, granular moving parts of an event, as well as the big picture.
  • A dual-minded approach: highly creative, but can also be strategic, process-driven, think scale, and use data to make decisions.
  • Experience using programs like: Excel/Google Sheets, Microsoft Office, and event platforms like Aventri etc
  • Familiarity with Clickup or similar project management systems a plus
  • Bachelors degree

REQUIREMENTS:

  • Travel to semiannual conferences for live events, and in preparation for future conferences
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Ability and willingness to work extended hours and varying work schedules as needed 2 months before TSIAs semi annual conferences
