Job Overview:

We're seeking an Executive Assistant to join our non-corporate, laid-back yet fast-paced team. This key role will support our CEO and senior managers, handling a mix of administrative, operational, and personal tasks. The ideal candidate will be articulate, detail-focused, and a quick problem-solver, able to propose proactive solutions with accuracy.

Key Responsibilities and Tasks:

  • Managing the CEO's daily operations, guaranteeing their smooth and efficient functioning.
  • Overseeing daily administrative duties including managing an active calendar of appointments, composing and preparing correspondence, and compiling documents for meetings.
  • Arranging travel plans, itineraries, and agendas for the CEO and other senior-level managers; occasionally traveling with and assisting the CEO on business trips/events.
  • Planning and executing company-wide events, taking charge of communication, scheduling, and logistics.
  • Preparing for meetings by supplying relevant documents/materials and agendas, and informing staff ahead of time.
  • Expressing CEO's needs/desires/input in meetings and to managers when required.
  • Taking meeting minutes and supervising follow-up actions based on takeaways.
  • Formatting information for internal and external communication memos, emails, presentations, reports.
  • Building relationships with vendors, clients, and staff to ensure harmonious collaboration.
  • Handling expense reports and invoices related to the CEO.
  • Managing budgets and distributing relevant weekly, monthly, and quarterly reports to the team.
  • Proactively anticipating executive and departmental needs, ensuring office supplies are always available.
  • Supporting executive and operational projects to align team members, tasks, budgets, and timelines, ensuring their timely completion.
  • Gathering and evaluating data from diverse sources, presenting it in a clear, actionable format.
  • Ensuring all necessary preparations and tools are ready for scheduled meetings and special events.

Personal Assistant Tasks:

  • Managing the CEO's personal calendar, scheduling appointments, events, and reminders efficiently.
  • Coordinating and supporting the organization of personal events, such as family gatherings and social engagements.
  • Running errands as needed, such as shopping for personal items or handling personal mail and correspondence.
  • Acting as the contact point for personal service providers to ensure effective communication, collaboration, and scheduling.
  • Maintaining and organizing personal files, documents, and records securely and confidentially.
  • Assisting in managing personal finances, overseeing bill payments, budgeting, and financial planning.
  • Facilitating travel arrangements for personal trips, adhering to preferences and requirements.
  • Establishing and maintaining open communication with family members and personal contacts, serving as a liaison when necessary.

Requirements

  • Education: Bachelors Degree in Business Administration or equivalent in executive support field.
  • Experience and Values:
    • Proven track record in an extensive and diversified background with at least 3+ years of related experience
    • High level of integrity and professionalism
    • Detail-oriented and organized
    • Proficient in working on a variety of platforms and apps such as Microsoft Office Suite, Google Suite, or related software
    • Has excellent verbal and written communication skills
    • Strong writing skills; the ability to create correspondence on behalf of the CEO with minimal direction.
    • Manage sensitive and proprietary information with discretion and confidentiality
    • Outstanding team player, assist other managers as needed for special projects
    • Advanced knowledge in navigating Microsoft office.
    • Ability to work in a fast-paced organization as well as multitask, prioritize, and manage time.
    • Exhibit a consistently positive attitude and a strong adaptability, flexibility and resourcefulness
    • Possesses exceptional interpersonal skills
    • Demonstrated ability to maintain a high level of professionalism and confidentiality
