Position Description

  • Manage reception desk and office duties to include, but not limited to: greeting any potential walk-ins to Department or anyone who arrives to the IL division's desk, scheduling clients, answering program's phone, opening and routing mail, emailing correspondences, reviewing documents, faxing, and maintaining program's open and closed files.
    • Prepares requisitions for office supplies including those for IL Teacher supply orders.
    • Tests all supplies or devices for working order.
    • In timely manner, make returns to supplier if items are defective.
    • Reserves meeting rooms and/or video or ICN conference line as requested for meetings.
    • Support IL Teachers as requested (ex. appointment cancelations or rescheduling appointments).
    • Keeps records of all vendor invoices for reference.
    • Ensure application IL program packets and related documents are collated and available upon demand.
    • Serves on the Independent Living Advisory Committee (ILAC) as secretary, attends quarterly meetings, assists with agenda preparation, takes succinct meeting minutes and disseminates approved documents to committee, non-voting members, and staff, maintains/disseminates approved ILAC membership list including membership terms, and as requested coordinates guest speaker.
    • Assists annually to update all support groups on IDB website.
    • Coordinates and supports program administrator with reviewing various documents including staff travel claim forms and acting as timekeeper through Workday.
    • Coordinates activities with administrative units as requested.
    • Delegates and monitors work flow as well as assignments to AARP volunteer. Prepares and sends AARP's bi-weekly timesheet to AARP Foundation SCSEP Office.
    • Case Management
    • Performs specific case duties and review and support of IL Teachers who manage caseloads (ex. applicant, eligibility, plan, authorization, equipment receipt forms (ERF), and closure); monitoring service provisions for clients (ex. Community-Based Training, IL Senior Integration, etc.), and complete paperwork and/or computer entries within case management system.
    • Monitors receipt of and upload applicant or client reports/medical records.
    • Responsible to order/re-order IL Teacher client transfer box supplies (i.e. aids, devices and equipment).
    • Tests all supplies, devices, or equipment for working order.
    • Make returns to supplier(s) as needed for defective items.
    • As assigned, supports the Vocations Rehabilitation (VR) Counselor and IL Teachers in meeting successful employment and IL outcomes.
    • Responsible to maintain IL Teacher case logs.
    • Ensure approved case status moves are reflected in the case management system.
    • Notify IL Teacher of any missing signed documents from respective paper files or any missing electronic case entries, if noted.
    • Mail out client response form.
    • Enter Client Survey Forms to an electronic tracking system for federal reporting.
    • On a monthly basis, from all IL staff collect data related to outside IL phone/email/written inquiries, or information and referral made for those individuals who are not entered into the IDB case management system.
    • Support the IL program administrator when requested with extrapolating data and information from the case management system and other sources.
    • Reviews electronic case records or paper files to ensure they are in compliance with federal, state, and agency documentation requirements. Customer Satisfaction and Professional Conduct

    Skills Required

  • Knowledge of English: grammar, spelling and punctuation.
  • Knowledge of general office procedures and equipment.

  • Experience Required

    • Experience equal to one year of full-time clerical or closely related work;
    • OR post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
    • OR completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;
    • OR certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
    • OR employees with current continuous experience in the state executive branch that includes permanent status as a Typist Advanced.
