Summary
  • The primary role of Administrative Assistance function is to provide all secretarial and administrative support to the Business leaders and teams across businesses. Key deliverables include arranging for conferences, travel, email and diary management. Supporting key communication programs and coordinating staff functions and events. Managing key meetings, minutes and report preparation.
  • This position will work in person in the San Diego Corporate office. There will be opportunities to work flexibly, but the hiring manager would like this person to be in the office on the days when they come in. The client need a seasoned/experienced admin who is comfortable working in a fast-paced environment; someone who has worked at a senior/executive admin level
Roles & Responsibilities
  • ResMed is seeking an experienced, detail-oriented, energetic, administrative professional for an excellent career opportunity as part of the Corporate Communications team. This position directly reports to our VP, Investor Relations and Corporate Communications and provides administrative support for the Corporate Communications team.
  • Provides comprehensive support to the department Vice President which includes project planning and support, research projects as well as the support of regular departmental operations. May also handle some administrative duties and assist in tasks for the VP's direct reports and the broader Corporate Communications team
  • Proactively manage the VP's dynamic calendar and independently schedule appointments; ensure up-to-date communication with all parties impacted by changes; provide excellent effort and follow through on difficult-to-schedule meetings; endeavor to keep them properly prioritized and find creative ways to solve logistical challenges.
  • Resolve incoming inquiries with the appropriate level of attention and discretion; respond with courtesy and professionalism on the VP's behalf.
  • Pro-actively identify obstacles to project deadlines, task, or events and identifies solutions accordingly
  • Maintain strict confidentiality; tactfully managing external requests for participation in various activities.
  • Compose confidential correspondence, reports, and presentations on behalf of the VP for internal and external meetings and conferences. Arrange conference calls within varied worldwide time zones and mutually hectic schedules.
  • Support travel and expense processing, work with travel agencies for domestic and international travel to organize complex travel arrangements; prepare a detailed itinerary, and compile documents for travel-related meetings ensuring the VP is prepared for the trip. Create and submit subsequent expense reports in a timely manner.
  • Organize employee engagement for the department, including but not limited to: volunteer events, happy hours, monthly birthday cakes, notable anniversaries, and learning hours
  • Orders and maintains supplies, file system, and org. charts
  • Additional duties assigned as needed
Minimum Qualifications
  • High school diploma or general education degree (GED) required
  • Minimum of 7 years of professional experience supporting multiple senior leaders and/or leaders of global functions required
  • Must have demonstrated experience managing projects for a functional leader
  • Minimum 5 years' of demonstrated experience coordinating, maintaining, and arranging complex calendars for meetings, appointments, and travel requiring independence, discretion, and ability to handle sensitive and confidential information.
  • Minimum 5 years of demonstrated experience planning and organizing functions, meetings, and special events, including preparing agenda, collating/distributing materials and documenting/formatting minutes of meetings, and ensuring action items are completed and documented
  • Demonstrated advanced proficiency in MS Office (Outlook, Word, Excel, Access, PowerPoint, Publisher) Adobe Professional
  • Ability to use Powerpoint and Excel to develop complex presentations for leadership use
