Onsite role at ITRC. This is for a team assistant/support specialist for 2 department leads. Organize internal meetings and sending out meeting agendas. Writes the meeting minutes in internal system (Confluence, OneNote, etc.). Organize managers calendar and normal office organization. Book office materials. SAP work for requisitions. Responsible for weekly report and put those reports in PowerPoint and Excel. Maybe beautify PowerPoint Presentations. Supporting department manager but also section managers to organize meetings, workshops, catering, special events, etc. for them. Booking accommodations for visitors. Travel booking in SharePoint Workflow, CONCUR and Travel expense declaration in CONCUR. Responsibilities: Position provides a variety of advanced administrative support to the assigned department at Plant Spartanburg. - Performs and coordinates administrative tasks (word processing, document preparation/management and file maintenance as required) related to the daily activities for TX.
- Coordinates preparation of records such as agenda, notices, minutes and LOP for department management team weekly meeting.
- Assist with department budget, training records, travel arrangements, expense reports, office supplies and record retention.
- Coordinates management workshops.
- Maintains department web page.
- Maintains time administration for management.
- Creates purchase orders and processes invoices to Accounts Payable.
- Handles special projects related to TX.
- Schedules and organizes activities such as meetings, meeting documentations, and video conference for members of the department.
- Supports management to maintain target achievement and task completion as assigned.
- Handles confidential information and material.
- Monitors and communicates to managers deviations on Budget Variance reports, forecasting reports, and SAP activities for TX.
- TX target/status system update.
- Performs other duties as assigned by BMW operations supervisor.
Education: High School Diploma or GED equivalent. Associate Degree a plus. Qualifications: B) Experience: 3+ years of related administrative procedures C) Training: As applicable, per BMW training guidelines. D) Licenses and/or Certifications: Valid driver's license may be required based on department. Disciplines: Advanced = SAP - (Purchasing, Manager's Desktop, Finance, and Time Administration modules) Advanced = presentation and organizational skills Advanced = ability to handle multiple tasks Intermediate = communication and organizational skills Intermediate = computer skills (Microsoft Excel, Word, PowerPoint, Access, Outtask, etc.) Intermediate = knowledge of organizational processes (budget, headcount) Intermediate= German language skills Intermediate = using and/or knowledge and familiarity with a variety of office equipment (e.g. PC, Printers, Plotters, Video conference, etc...)
