The Alliance for Clinical Trials in Oncology Foundation (Foundation) is a nonprofit, tax-exempt foundation created to enhance and expand the ability of the Alliance for Clinical Trials in Oncology (Alliance) to conduct cancer clinical research and address important treatment questions through large-scale clinical trials. Through efforts of the Foundation in support of the Alliance, clinical trials and laboratory research are conducted to discover new or improved ways to prevent, treat, and cure many types of cancer, including leukemia and lymphoma, and cancers of the breast, prostate, lung, and GI tract, and help educate the medical community on methods of cancer diagnosis, treatment, and prevention.

Purpose/Scope:

The Training and Administrative Programs Coordinator oversees day-to-day operations of the Alliance training programs, as well as provides administrative and operations support and project management to other programs as assigned, in daily operational and administrative functions; develops and evaluates program curriculum, related policies and procedures; and collaborates with internal and external professionals to create new programs and enhance existing ones. This position develops program marketing, including the development of program-related publications, website content and social media promotions

Requirements

Role & Responsibilities:

  • Manage the development and implementation of education and training projects including real-time and recorded web events (e.g., webinars and webcasts), online courses, self-study materials, instructor-led training, and live educational programs at meetings and conferences. Develop and review education and communications materials.
  • Manage and coordinate all Alliance materials and requests for the Cancer Trial Support Unit (CTSU) online training platform CLASS. Main point of contact for CLASS offerings for Alliance trial-specific and general site training platform.
  • Run CLASS reports for module attendance as well as for overall training analytics.
  • Communicate with all levels of staff, as well as internal and external stakeholders, to lead project activities, resolve issues, mitigate risks, and ultimately ensure the success of education/training projects.
  • Foster inter-departmental relationships to facilitate resource scheduling and ensure appropriate projectstaffing levels on high-priority or high-visibility projects.
  • Monitor and triage all communications received in the training team email account.
  • Conduct needs assessments and gather requirements to appropriately define the scope, roles, and success criteria in project documentation. Create SOPs for Training and Development responsibilities.
  • Research current trends, concepts, techniques, tools, and programs for possible application within theorganization.
  • Work closely with multiple programs, including Protocol, Quality, and Clinical Research Professionals toIdentify and recruit subject matter experts, project development team members, focus groups, and betatesters.
  • Develop and maintain work break-down structures, project plans, and project schedules to achievecompletion of development milestones.
  • Primary administrative support and project management for Clinical Research Professional (CRP)Committee, including monthly meetings, monthly newsletter, Group coordination, Group agendas, Groupcommittee summaries, and overall session planning and coverage.
  • Work closely with Meetings and Administrative Manager to coordinate and ensure the timely completionand submission of Continuing Education (CE) applications, ONA Nursing application, event marketing, andpost-event evaluation and reporting and any overall Group meeting support. Create and update SOP onContinuing Education process for Group Meeting.
  • Represent the Training unit on working groups and committees including the Operations Committee,Clinical Research Professional (CRP) Committee, Quality unit and IPEC (Institutional PerformanceEvaluation Committee).
  • In conjunction with the Communications Manager, design and distribute marketing and communicationsmaterials to promote training events and encourage participation.
  • Monitor the completion of project development milestones and proactively report potential scheduledeviations.
  • Maintain education and communication web portals including sections of the Alliance website, wikispaces, and the Cancer Trials Support Unit (CTSU) training site CLASS.
  • Provide onsite support to event leadership, presenters, and attendees.
  • Evaluate the effectiveness of programs and make recommendations based on the compiled data.
  • Develop and maintain an archive of reports detailing the accomplishments of the unit for use in grant applications. Such reports include the attendance, participation, and completion statistics for trainingevents and online courses.
  • Collaborate with internal and external professionals to create new programs and enhance existing ones.Assists with evaluating the program curriculum, policies, and procedures.
  • Assists with planning and implementing program marketing activities, including the development ofpublications and Web site.
  • Prepares, collects and distributes presentations, notices, agendas, meeting minutes and otherdocumentation/communications.
  • Coordinates meetings and events, researches logistics, assists with planning and preparing presentations,event outreach, and post-event write ups/minutes
  • Develops and maintains various databases, process flows and/or spreadsheets. Collects and distributesreports, information and other materials, in collaboration agreements and/or regulatory requirements.
  • Assists in daily operations related to managing of multiple administrative programs/projects
  • Has moderate/high levels of interactions with program managers, operations managers and otheressential staff. Handles requests from external research collaborators, and internal Alliance Personnel
  • Performs other related work as needed.

Qualifications & Education Requirements:

  • Bachelors Degree and two years of related experience
  • Experience working on large scale events, preferably an academic-medical organization with exposure to oncology.
  • Experience developing training and education programs and curricula.
  • Experience with Continuing Education (CE) process and programs for Nursing and SOCRA (Society of Clinical Research Association) credits
