Who we are looking for:

The Transaction Coordinator will be an individual who is solutions-oriented and enjoys working with others toward a common goal. They will have a strong sense of urgency while still maintaining a high level of quality in their work. Must have the ability to navigate technology efficiently and expertly, and be comfortable learning new systems quickly.

The top priority of this position will be to instill trust and build relationships with agents, clients and all third parties by creating an exceptional real estate experience. This position is unique in that it is responsible for providing excellent service not only to clients outside of our company but also to agents within the organization as well. The ideal candidate will be an excellent communicator, have a can-do attitude, and demonstrate initiative toward problem-solving.

Job Duties and Responsibilities:

  • Act as a liaison and concierge for agents, clients, title companies, inspectors, mortgage brokers, and other third-party individuals to the contract process
  • Effectively manage all administrative tasks involved in the closing of a real estate sale.
  • Create and maintain accurate and compliant files for retention.
  • Communicate frequently with agents throughout the transaction to ensure files are complete and compliant and all deadlines are met.
  • Communicate regularly with clients to send them reminders, check in, and let them know what to expect in each step of the contract to close process.
  • Assist agents and clients in problem resolution is an issue arises in a timely manner.
  • Coordinate closing date and time with agent, title company, and clients and notify clients of necessary pre-closing steps such as utility transfer, what to bring to closing, etc.
  • Verify status has been changed on listings in the MLS, and that the appropriate agents have been listed in the transaction.
  • Compile the closing file for the agent including any documents needing signatures, initials, dates, commission amounts, and any other requirements.


Requirements

  • High school diploma required.
  • Ability to learn new technology and systems quickly.
  • Strong written and verbal communication skills.
  • Good organizational skills.
  • Excellent at building rapport.
  • Knowledge of Colorado Real Estate law is preferred, but not required.
