Description of Duties:

This remote eligible position is responsible for Operations support and coordination. Oversees the group travel, assisting the contracting process, and coordinates logistics of Group and Individual Reservations for housing. This position is is a heavy phone operations position, communicating with vendors, operations, and sales daily to answer questions, provide updates, and work on any necessary changes. This individual must be able to gain a deep understanding of all travel services offered and be able to effectively negotiate and communicate with clients, vendors, sales, and operations alike, ensuring timely, accurate updates are provided in a competitive market. They must be highly organized, detail-oriented, and able to multi-task in order to meet deadlines in a fast-paced environment, fulfill customer satisfaction and drive optimal results. Client Communications

  • Communicate at a high level to clientele, external vendors, and internal teams.
  • Positive attitude and solution-oriented mentality are required.
  • Be proactive and help guide clients with our expertise.
  • Maintain client relationships, projects, and deadlines, and assist in any conflict resolution.
  • Foster new relationships, repair damaged relationships with vendors.
  • Attend off-site client and vendor functions, some of which may be after normal business hours.
  • Exercise discretion and confidentiality with production/client information.
  • Be adaptable and flexible to constantly changing requirements dictated by client-driven or other factors, adhering to the SLA.

Operational Proficiency

  • Research best travel options in each city based on client needs for Group and Individual Reservation requests; negotiating the lowest rates for accommodation and most advantageous concessions for client.
  • Strong active interviewing skills to obtain pertinent information to efficiently work an opportunity.
  • Review all final service options prior to sending to the client, by or before the deadline date, ensuring all options address client priorities, all details are accurate, and provide appropriate guidance.
  • Resolve any issues that may derail meeting itinerary delivery dates.
  • Be prepared to advise the clients about the best options in each city and help educate/guide them to make the best decisions for the production.
  • Set realistic deadlines with production clients for the completion of requests.
  • Have hotel brand-specific knowledge and be able to recommend appropriate properties.
  • Work with the Market Manager to achieve market goals, ensure workload is distributed properly, and receive assistance as needed.
  • Assist clients and vendors with billing challenges.

Requirements

  • 2-3 years of professional experience in a client-serving role
  • Passion for building relationships
  • Dynamic team player
  • Strong written & verbal communication skills
  • Bachelors degree required
  • Experience in travel, logistics, or hospitality industry a plus

Salary:

  • $50,000.00 to $55,000.00
