Duties/Responsibilities: - Process Court Orders, Subpoenas, and written requests received from the Department of Education, the Judiciary, the Division of Law, state and federal agencies, current/former DCF clients and outside agencies/organizations.

Reviews and analyzes current laws and agency policies to determine its application to the release of confidential information, employment records and any other information maintained by the offices/divisions within the DCF. -
Ensure that all requests have the proper identification from the requestor, and that the requests are accurately entered onto the excel database and onto the unit's shared drive. -
Monitor program activities to ensure there are no delays in the delivery of the requested information or flow of work. -
Assist in the development and maintenance of the unit's record database and track each request for information. -
Review each request and obtain appropriate legal advice or guidance from either the Office of the Attorney General, DCF Legal staff, and/or the DCF HIPAA/Privacy Officer. -
Conduct searches for requested information using electronic databases, e.g. NJSPIRIT and MS Excel and from the unit's shared drive. -
Determine the status and catchment area of the DCPP/IAIU case. -
Request original or copies of records through the Records Management database, the Local Office, the IAIU Office or other offices/divisions within the Department. -
Identify legally protected information and redact records pursuant to the confidentiality statute. -
Coordinate the copying and redacting of records with clerical support. -
Release requested materials pursuant to Federal and State laws. -
Return original records to the offices of origin when the request is completed. -
Correspond with court staff, attorneys, DCF staff and DCF clients to discuss the initial record request or to provide updated information. -
Create and maintain a hardcopy filing system to ensure that all active/closed requests are filed/maintained in an organized manner. -
Ensure all tasks related to the Records Inquiry Program are managed and completed in an organized, professional manner. -
Assume other related duties as needed within the office to help support the Litigation Unit and the Records Inquiry Program. -
Process requests for employment records by consulting with the Director of Legal Affairs, the DCF HIPAA/Privacy Officer and DCF OPRA Custodian. -
Obtain the requested documents from the designated OHR Managerial staff, process payment for the production of documents and arrange for the release of the materials. -
Prepares correspondence and other information for approval and signature and send to appropriate requestors
