Provides administrative support for VP/GM.



The VP/GM Executive Assistant provides administrative support for VP/GM



Responsibilities for this position may include but are not limited to:



Support for VP/GM - Administrative: Schedule internal, external meetings, and business related social events; ensure WebEx, VC, refreshments and other meeting resources are arranged and delivered on time; prepare briefing materials for meetings and events attended; coordinate domestic and international travel itineraries, flight arrangements, and transportation logistics; proactively anticipate and resolve scheduling or other conflicts as they arise; reviews and screens incoming emails through regular checks, deletions, and filing and highlighting items that require immediate attention; edit and circulate emails; edit and format executive letters and briefing materials; track expenses and prepare TEA; answer telephone and take messages; coordinate with Receptionist and Operations Manager on guest management; maintain trace file; handle confidential information of classified and sensitive materials, and maintains discretion at all times; provide general office support as requested.



Support for VP/GM - Compliance and Office Operations: Maintain office systems to ensure compliance, finance, and internal processes are met; complete quarterly lobbying reports for VP/GM and visiting executives to Washington DC office and coordinate filings; complete stakeholder tracking reports; update stakeholder contact list; develop reminders for deadlines in calendar, traces and other systems; coordinate with Operations Team and EPP team on GA planning logistics, including weekly events calendar, material review, and deadlines; maintains effective communications with Planning and Operations manager and his/her team regarding executive meetings and events.



Support for other executives: Provide administrative support to Chevron executives, including the Chairman, and their assistants leading up to and during visits to Washington DC office; serve as liaison and primary point of contact between Washington DC office and executive offices; coordinate itinerary, hotel accommodations, local transportation, participation in special or social events, and internal/external meetings for executives in advance of each visit to Washington DC; ensures requests from Chairman's office are handled promptly and with discretion, and deadlines are met; work with VP/GM and appropriate managers to determine appropriate meeting schedule for each visit and coordinate internal briefing meetings; provide detailed and accurately formatting briefing materials in timely manner prior, during and after visits; provide the highest quality of service to executives during their stay in form of research, printed materials, and other items/requests needed during their visit; and enter all executive phone calls, emails, and other engagements with Washington DC stakeholders into stakeholder management system.



Required Qualifications:



+ 8+ years of direct experience supporting a high-level principle or C-Suite executive for a mid to large sized organization.



+ High School Diploma



+ Diplomatic nature and comfort working with people at all levels of the organization; advanced ability to engage executive staffs, U.S. and foreign officials and their staffs, and demonstrated understanding of foreign cultures



+ Proven organizations skills, including ability to handle very active schedule, workload and logistics with a high level of confidentiality, initiative and independence; possess a high degree of discretion, judgment, tact and poise; grace under pressure and a can-do attitude



+ Demonstrated strong interpersonal skills and ability to work collaboratively at all levels in the organization; proven ability to adapt readily to the needs of a diverse set of work groups and remain calm under pressure



+ Advanced ability to communicate professionally and clearly in writing and verbally; capacity to build trust and develop cooperative relationships with stakeholders, coworkers and key contacts outside the organization



+ Demonstrated ability to take initiative, prioritize, meet deadlines, and problem-solve; ability to anticipate needs and requirements; accustomed to supporting a high energy, very busy executive who may have last minute requirements or schedule changes.



+ Ability to set priorities for multiple projects, meet multiple deadlines under pressure, and a strong work ethic with flexibility to support any task for the office; strong attention to detail and the ability to anticipate and plan for the needs of the executive.
