Job Description

NOTE: THIS POSITION IS LOCATED IN ARLINGTON, VIRGINIA.



Hire contingent upon obtaining a military contractor identification card to access military bases in the D.C. metro area.



Represents the University of Oklahoma at military sites throughout the Washington D.C., Virginia, and Maryland Areas. Performs a variety of administrative duties while representing the University of Oklahoma and promoting educational programs offered at military sites throughout the world.

Provide administrative and clerical support to the Site Director with tasks including: run errands, maintain filing systems, databases and confidential records, compile data and create reports/charts/graphs, copy and prepare materials for mailing.1.   • Provide administrative and clerical support to the Site Director with tasks including: run errands, maintain filing systems, databases and confidential records, compile data and create reports/charts/graphs, copy and prepare materials for mailing.

  • Open/prepare incoming and outgoing mail, answer the telephone, send faxes, prepare and distribute promotional materials in the community, and provide information regarding location or availability of materials, resources and services. 

  • Assist Site Director with registration of classes. Provide student services in the absence of full-time Site Director or when there is a need to handle the volume of students in the office.

  • Provide faculty support (e.g., assist with lodging, classroom facilities, transportation, meals, etc.). 

  • Assist with the maintenance and monitoring of the classroom facilities. 

  • Other duties as assigned.

  • Willingness to work some weekday nights and weekends as needed.

  • Ability to travel to yearly conference.


Job Requirements

Required Education: 


  • GED/High School Grad or equivalent combination of education/job related experience, AND:

  • 12 - 24 Months-Office Clerical experience



Skills:




  • Ability to speak, read and write clear, concise English

  • Basic math skills

  • Proficient in Microsoft Office

  • Detail oriented for accuracy of data and information

  • Highly organized and able to handle multiple projects and deadlines

  • Able to communicate well and build rapport quickly with students, faculty and staff

  • Able to produce reports and complete work within deadlines

  • Strong initiative to solve problems

  • General office skills such as multi-line phone, copying, filing, faxing, and mail

  • Customer service



Certifications:




  • None.



Advertised Physical Requirements:




  • Must be able to communicate and engage in repetitive motions.



Departmental Preferences:




  • Bachelor degree

  • Worker experience in public relations, marketing or office administration

  • One-year experience with military education desirable



Supervision: 




  • No Supervisory Duties
