Executive Assistant experience needed- including calendaring responsibilities
Summary:
  • Responsible for project management, workflow, and process improvement activities for legal projects that impact CLIENT'S Health business operations.
  • Coordinates implementation and maintenance of software used by the Legal Department to perform legal services, including document management system, contract lifecycle management system, legal research software, and American Institute of Architects template agreements.
  • Serves with limited direction as administrator for software systems, initiating and terminating licenses, troubleshooting, and engaging both internal and external IT support.
  • Provides orientation and training to members of the Legal Department in software systems and Departmental processes and procedures.
  • Coordinates ordering, set-up, and repair of computers used by Department personnel.
  • Processes and coordinates approval of invoices. Performs diverse executive-level administrative support by organizing and coordinating the day-to-day operations of the SVP/Chief Legal Officer's office and Legal department.
  • By the nature of the position, a high degree of professionalism is required in dealing with high-level contracts and exposure to sensitive information requiring the use of tact, diplomacy, discretion, judgment, and independent decision-making. Coordinates and prioritizes the flow of work and acts independently of the SVP/Chief Legal Officer and other assigned executives in handling and/or directing the logistical aspects of the SVP/Chief Legal Officer's office and the Legal Services department, including scheduling appointments, maintaining the complex calendar, managing most incoming and outgoing correspondence, coordinating travel arrangements, arranging and supporting internal and external meetings, as necessary.
  • Provides guidance and response to requests in the absence of the SVP/Chief Legal Officer.
Responsibilities:
  • This position supports the SVP/Chief Legal Officer for Legal Services as well as other attorneys as requested in the Legal department, prioritizing duties in coordination with SVP/Chief Legal Counsel and other assigned executives.
  • Maintains confidentiality and excellent judgment in all aspects of administration and operations of the Legal Services office, while respecting the mission, vision, and core values of the Legal Services department
  • Maintaining confidentiality is of the utmost importance due to the nature of the business and professional interactions of the General Counsel and other assigned attorneys
  • Manages phone contacts by answering all calls in a timely manner, responding to callers in a courteous and welcoming manner and appropriately handling the call to the caller's satisfaction
  • Schedule meetings and appointments, ensure meeting areas are prepared and meals are provided when appropriate Ensures all meeting materials, if any, are delivered to all participants in a timely manner to ensure adequate time for meeting preparation
  • Manages all incoming and outgoing correspondence, date stamps incoming correspondence, and distributes to the appropriate persons
  • Ensures overnight or special delivery mail is appropriately handled
  • Arranges domestic and international travel and prepare the necessary documentation to ensure travelers have all the necessary information when traveling
  • Files correspondence, reports, and other required materials
  • Maintains files in an orderly and neat manner to ensure information can be readily accessed when necessary
  • Prepares presentations and reports as requested including PowerPoint, Excel, and Word documents
  • Attend and participate in meetings, takes notes and draft the meeting minutes for communication to the attendees
  • Schedule, organize, and coordinate departmental meetings, special training sessions, special meetings, and Legal attorney meetings as requested
  • Coordinates and assists with planning social events held outside the corporate office for the General Counsel and department
  • Actively participates in the administration of the Concur business expense reimbursement system as it relates to the executive expense reporting for the General Counsel and other assigned executives
  • Serves as liaison to other administrative assistants in regard to the Concur System
  • Prepares expense reports ensuring accuracy and completeness of documentation and ensuring the appropriate reviews and approval of the expenses as outlined in procedures
  • Assists in coordinating the preparation, posting and updating of the legal updates for the Legal Services department forms on the CLIENT'S Connect intranet site, and in the workflow and presentation and availability of changes or revisions to the Legal electronically available resources such as the Physician Contract Manual, Contract Manual and other resource tools
  • Responsible for managing the BancTec invoice coding and/or workflow application and approval with the corporate departments and CLIENT'S Health regions
  • Receives incoming invoices, process and or integrates invoices into the BancTec application
  • Also manages, monitors, and routes the international invoices for approval
  • Coordinates and process risk management claim settlement payments and invoices with the appropriate legal counsel, outside counsel, and Risk Finance accounts payable
  • Maintains databases and other information repositories on an as-developed basis
  • Responsible for AIA, Workshare, and LexisNexis licenses and renewal
  • Track requests made to the regions and other parties by the SVP/Chief Legal Officer, and coordinate and organize the responses
  • Acts as an information reference point for internal and external queries
  • Assists with updating the Legal Services website
  • Monitors inventory of supplies and orders supplies as necessary
  • Maintains supply and file rooms in a neat and orderly manner
  • Maintain a cohesive relationship and cross-train in certain areas with the Administrative Assistants in the Legal Department to ensure that all needs of the department are met
  • Provides general departmental orientation for all new associates and executives, assists in requesting all the Microsoft Office applications, legal docket, AIA licenses, Safesite access, LexisNexis id, access to the Legal share drive, Concur expense reporting, iManage Worksite, Kronos and other applications as needed
  • Assists the SVP/Chief Legal Officer, Regional General Counsel, Corporate International General Counsel, and other Legal Service Department counsel as requested
  • Team leader for the Legal Services department to assist with the administration, training, and support of the HP/Autonomy Worksite application , training and support with IM Project Business manager, applications, security, and education teams
  • Lead Administrator for Legal Services and super-user to assist with Worksite set-up for e-mail, document, and workspace management and organizational functions.
