The Position

We are seeing a Senior Program Coordinator to be responsible for providing administrative and strategic support to the Program Managers to service their internal and external customers and correspond directly with customers as needed.

The Location

We are located at 51 Scarborough Lane, Milford, NH. This position is onsite. You will work across multiple shifts as needed.

Who We Are Looking For

We are looking for someone who has 1-2 years of related experience. You should be comfortable working with computers specifically with databases, spreadsheets, and word processing. You should have experience working with ERP/MRP systems. The ideal candidate will have strong communication skills (written and verbal), be able to work on multiple projects at a time, and able to work cross-functionally with multiple locations.

Additional Job Details:

  • Pull reports from Customer Portal and the internal database (IFS).
  • Create and manage open order tracker; provide regular updates to customers.
  • Generate Change Orders via internal database (IFS) to create customer Bill of Materials (BOM); requires pulling data and comparing multiple reports to create accurate BOM.
  • Process all new Customer POs; reviewing for accuracy.
  • Create and update internal customer orders.
  • Enter non-inventory customer orders for non-BOM expenses.
  • Support new product development; enter sample lab requests into material database, create and manage trackers, attend team meetings, send reports to customers.
  • Submit approval forms for new candle development.
  • Enter material transfer orders for raw materials needed to support lab development.
  • Initiate Change Orders via internal database (IFS) to create new component and finished good part numbers.
  • Update/modify BOMs as requested.
  • Generate and distribute program deviations for component changes via Change Orders in IFS.
  • Process and prepare UPS/Fed Ex shipments as requested.
  • EDI Maintenance.
  • Respond to and resolve issues in a cooperative and timely manner.
  • Collaborate with multiple departments to ensure customer issues/challenges have been addressed.
  • Support order date management: provide suggestions on movements for Program Managers to confirm, develop metrics to track movement root cause.
  • Reconcile Shop Orders upon completion; investigate shortages, work with PM to provide disposition for remaining materials.
  • Participation in continuous improvement projects.
  • Maintain standards of performance and comply with housekeeping, safety policies and procedures.
  • Performs other duties as assigned.

Requirements

Required Qualifications:

  • High school diploma or general education diploma (GED).
  • Minimum of 1-2 years of related experience required.
  • Proficiency in Microsoft Office, particularly Word and Excel.
  • Previous experience with ERP/MRP systems.

Preferred Qualifications:

  • Excellent verbal and written communication skills.
  • Strong organization skills and attention to detail.
  • Ability to work independently and cross-functionally, including with multiple plant locations.
  • Ability to manage multiple tasks and projects with deadlines.
  • Plans and carries out responsibilities with minimal direction.
