ABOUT YOU & YOUR NEW ROLE

We are excited to offer an opportunity for an extraordinary Business Administration Manager, to join our Chandon Home (Hospitality & Retail) team.

You will: be energetic; very well organised; tech oriented; have a keen eye for detail; eager to be part of a wonderful winery community; and excited by the prospect of working with a team of diverse professionals across viticulture, winemaking, operations, hospitality and support functions.

YOUR RESPONSIBILITIES

Vendor & Purchasing Co-ordination

  • Manage / Co-ordinate, with relevant internal stakeholders, full cycle purchasing process from new Vendor validation and set-up to purchase order and invoice processing to accurate cost allocation and tracking
  • Manage Vendor relationships with relevant internal stakeholders
  • Manage periodic vendor/services reviews with Purchasing and other relevant stakeholders

Internal Control

  • Support department with all internal control topics and ensure all policies (including ISO) are updated throughout the year.
  • Act as ISO Champion for the department consolidating, filing and sharing all ISO policies and procedures established by each work stream.
  • Continued reviewal of internal process to ensure proper compliance
  • Support correction of audit findings and implementation of corrective internal processes

Financial Support

  • Together with Managers and Finance team, support cost centre category management, ensure information required for month end processing is timely and accurate
  • Track and follow-up financial reporting and forecasting weekly, monthly, quarterly and annually
  • Manage department purchase cards, spending limits and adhoc purchase needs in accordance with internal policies and processes
  • Manage Chandon Home Construction Project invoices and budget tracker (until complete)
  • Support of monthly inventory management processes: Audit and review of inventory transfers in SAP, manual data entry, adjustments, trouble shooting, scheduling SAP support.
  • Collaborate with Production/Supply/Warehouse teams on inventory process, projections, and periodic audits.
  • Initiate and participate in Process Improvement projects

Resource Planning and Administration

  • Support / coordinate candidate screening, qualifying and interviews in alignment with HR processes.
  • Support new employee on-boarding and training
  • Support the Learning & Development Lead in coordinating and managing training including roll-out and tracking of all mandatory training
  • Support and/or lead all aspects of Chandon Home Team communication;
  • Draft, validate and communicate at least 2- and 4-week resourcing schedules to ensure appropriate staffing levels and cost controls are maintained and monitored
  • Record, track and report labor budgets (FTE and $) alongside visitor numbers and revenue
  • Prepare, co-ordinate and share all information required for timely and accurate payroll processing for Chandon Home team (including time and attendance, leave, incentives, tips and service charge payments).

Requirements

  • BSc/BA or Masters in accounting, business administration or a relevant field;
  • Proven experience as an administration or accounting professional;
  • Experience in working collaboratively with multiple internal stakeholders and functions;
  • Understanding of resource planning and payroll administration an advantage;
  • Experience in process improvement an advantage;
  • High proficient in the use and improvement of technology and systems;
  • Excellent communicator with a strong collaborative style;
  • Administratively very strong, efficient and very well-organized; and
  • Both hands-on and a strategic thinker.
