The GNU Group ((link removed)) is aggressively looking for an experienced Assistant Project Manager. As an Assistant Project Manager, you will work directly with Project Managers and Designers on managing the overall project scope and schedules. The project coordinator will be responsible for crafting meeting agendas, quality control, coordinating, schedules, building project budgets, and supporting internal teams, from work plan development through implementation While our preference is to have team members based in our Pleasant Hill office, we have adapted a hybrid workforce and will consider remote positions for a candidate with the right qualifications.

PRIMARY RESPONSIBILITIES

  • Project Planning and Execution: Assist with developing the work plan during the proposal phase and upon contract execution including Scope & approach, milestones and resourcing schedule, budget, and establishing primary responsibilities for client and team communication, change management, financials (Billing, collections and budget), and project closeout lessons learned. Development of additional service fees in response to changes in scope/schedule.
  • Client Management Support: Participate in client and architect meetings and document key decisions and actions required. Conduct and/or coordinate on-site technical audits. On-site or remote client documentation reviews and markups. Revise and manage data related to programming documents. Answer and manage RFIs during construction administration. Perform and manage punch list data and documents throughout the project. General project communication related to day-to-day information requests.
  • Vendor Management Support: Project accounting tasks including project set-up, estimate set-up requests, PO requests, document development, and reconciliations. Shop drawing reviews and documentation of red marks and coordination of revisions. General project communication related to day-to-day information.
  • On-Site Reviews: Conduct site audits and perform punch walks as needed.
  • Management of Small Projects: Engage in the project planning process with Program Manager with weekly project planning & billing deliverables and due dates. Set up projects in PM software.
  • Invoicing: Assist with invoicing and short-term/long-term projections for major accounts. Process invoicing monthly

Requirements

QUALIFICATIONS

  • Bachelors degree in experiential design, graphic design, industrial design, or related field.
  • 3-5 years of experience in wayfinding, environmental branding, and architectural signage.
  • Organized, with excellent problem solving, time management skills.
  • Able to produce high-quality, detailed work based on established standards, guidelines, and procedures.
  • Proficient in Adobe Creative Suite, SignAgent, AutoCAD, BlueBeam, Revit, or other design software
  • Strong communication, collaboration, and project management skills. Able to take coaching and feedback.
  • The ability to read and interpret architectural plans is a plus.


PERFORMANCE EXPECTATIONS

  • 65% - 75% time billable to the client

ANNUAL SALARY

  • The stated salary range, based on candidate experience and competencies, for this role in Sunnyvale, CA is $60,000 to $90,000.
