The Front Office department provides exemplary guest service- from the moment of arrival to a fond farewell. The Assistant Front Office Manager manages Front Office operations and staff in the execution of routine and specialized duties. This position supports the Front Office Manager and Director of Rooms to ensure quality standards of operation and guest satisfaction through prompt and thorough response to guest inquiries.

A typical day for the Assistant Front Office Manager may include the following responsibilities:

  • Prioritizing tasks and allocating labor accordingly to meet applicable deadlines. Tasks will include both specialized tasks related to current capital projects, as well as routine tasks related to the continual mission of guest service and satisfaction.
  • Engaging staff through the following means: open and efficient communication; providing the tools and information required to effectively perform assigned tasks; ensuring reasonable workload; and creating opportunities for fun and creativity.
  • Monitoring productivity and quality of service and providing support where needed.
  • Ensuring completion of assigned tasks at applicable timelines to meet the guest expectation.
  • Leading service recovery efforts including thorough follow-up to ensure guest satisfaction.
  • Performing administrative tasks to support the Front Office Manager in labor management and compliance.

Requirements

The ideal candidate for this position is a hotel professional with excellent management skills and strong working knowledge of guest service principles. The ideal candidate is an effective communicator and master of problem resolution. Two years of supervisory experience in hospitality rooms division with preference for experience in a hotel with labor relations.

The ideal candidate will also possess the following knowledge, skills, and abilities:

  • The ability to speak, read and write proficiently in the English language.
  • Proficiency with Microsoft Office products and the ability to master property/labor management software systems.
  • Strategic management skills including effective multi-tasking ability to oversee multiple positions and job tasks simultaneously.
  • Excellent communication skills through various methods including phone and two-way radio etiquette and proficient written communication skills.
  • Availability to work a variety of shifts including days, evenings, overnight shifts, weekends and holidays.
  • Considerable knowledge of front office operations and procedures as well as hotel and lodging laws and guidelines.
  • Working knowledge of accounting and cash-handling procedures.
  • Neat and professional appearance, a genuine spirit of Aloha and the desire to provide service.
  • Ability to effectively respond to guests with the highest standard of professionalism and tact.
  • As a condition of employment, candidate must be able to satisfy all pre-employment screenings including criminal background check, drug screening and professional references.
