Overview of Last Mile Education Fund

Position Overview

The Accounts Payable Specialist is responsible for administering accounts payable, reconciling bank statements, and generating financial reports as needed. The ideal candidate will have experience in nonprofit accounting and possess excellent attention to detail, organizational skills, and the ability to work independently. The Accounts Payable Specialist is an integral member of the finance team and reports directly to the Finance Director.

This position has geographic flexibility and can be performed remotely. The Last Mile team is fully remote and geographically dispersed currently between Colorado, Maryland, Michigan, Texas, and Washington. Travel is required quarterly to participate in team-wide convenings and operational meetings.

Role and Responsibilities

  • Grant Payment Processing. Process grant payments utilizing Last Miles software. Review student W8/W9 forms for accuracy. Follow up with students as needed.
  • Accounts Receivable and Payable. Receive, review, and record all A/R and A/P transactions. Reconcile all Last Mile credit cards. Monitor and update accounts receivable schedules.
  • Month-end and Year-end Close. Support the month-end and year-end financial closing procedures including: initiating and entering journal entries; uploading selected entries; driving the team through the closing process using checklists; performing bank reconciliations, balance sheet account reconciliations, and other reconciliations as needed.
  • Analysis. Work on various research projects as assigned by the Finance Director.
  • Reporting & Documentation. Assist in documenting and maintaining accounting processes and procedures. Prepare monthly, quarterly, and annual financial reports.
  • Annual Audit and Compliance. Support the annual audit process and filing of the 990 federal tax return. Maintain business and payroll licenses for the organization.

Requirements

Education and Experience Requirements

  • Bachelors degree in accounting or related field.
  • Minimum two years of experience. Experience with nonprofit accounting is a plus.
  • Proficient in Microsoft Office products (Excel), QuickBooks, NetSuite, and other accounting software.

  • Math-minded with accurate accounting skills.
  • Highly organized and detail oriented.
  • Tech savvy with the ability to work with various accounting and financial systems.
  • Ability to think critically, prioritize, and problem solve.
  • Ability to work independently; have solid attention to detail and accuracy; have superior analytical and problem solving skills; have excellent organizational, time management, and decision making skills. Must meet absolute deadlines.
  • Strong interpersonal and communication skills, including positive interaction with staff, grantees, and donors.
  • Ability to execute a defined process repeatedly and accurately and contribute to process improvement initiatives.

  • Satisfactory credit and background checks are required.
