Job Description: Lead Contract Support II JOB SUMMARY Working with a team of Contract Support professionals, this role provides oversight to ensure exceptional customer service and comprehensive administrative services are delivered to the clients and contracts in a specific business unit. In order to be successful in the role, it is essential to understand contract scope - must understand internal and client procedures, processes and systems; and, must operate those procedures, processes and systems to the required standards. Serve as a systems champion, for the purpose of ensuring accurate and high-quality, high touch, managing reports; the sharing of best practices and innovations; and, oversees the billing process, managing both debt and revenue management, to ensure performance within contractual terms. ESSENTIAL DUTIES AND RESPONSIBILITIES Partner with a Contract Support Team and ensure team is effectively utilized. Support the development of the team by providing the necessary training and development to ensure effective service delivery. Lead Debt Management efforts in order to create and review management reports, such as: profit and loss (P&L), work in progress (WIP), Debt, Open Purchase Orders (OPOs) & Invoice Pools. Ensures client billing, purchase order, and expense report processes and procedures comply company policies and established business unit guidelines. Assists in the month-end closing process including journal entries, reconciliations, etc. Support management's efforts to implement cost savings opportunities, ensuring customer and GWS financial savings targets are maximized. Compile data for the monthly Contract Review, to ensure compliance with Sarbanes Oxley (SOX). Support the preparation and delivery of monthly Contract Review and Business Unit Review materials to ensure compliance with Sarbanes Oxley (SOX). Support the Business Unit forecasting process. Ensure the completion of all necessary activities allowing the Contract Support team to understand the contractual scope/commitments and drive high quality commercial performance. Lead any/all activities that will provide exceptional client and vendor relationships, ensuring success in: improved buying and use of preferred suppliers, conducting supplier surveys on MySupplier and/or other systems, compilation of the Customer Monthly Management Report, compilation and reporting from the work management systems, and supporting coordination of sub-contractor files and statutory compliance. Other duties may be assigned. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Requires a minimum of three years related experience. Public accounting experience preferred. CERTIFICATES and/or LICENSES NA. COMMUNICATION SKILLS Ability to apply excellent written and verbal communication skills to accurately explain/report activity. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to respond effectively to sensitive issues and work collaboratively with business partners, key employees, top management, and client groups on various projects. FINANCIAL KNOWLEDGE Requires in-depth knowledge of financial terms and principles. Ability to calculate complex figures. Ability to forecast and prepare budgets. Conducts financial/business analysis including the preparation of reports. Broad, in-depth understanding of Generally Accepted Accounting Principles (GAAP), concepts. SEC reporting experience desired (depending on the specific finance role). REASONING ABILITY Ability to comprehend, analyze, and interpret complex financial information and transactions and accounting principles. Ability to independently research complex accounting transactions/issues. Ability to problem-solve, both independently and working as a team. Requires advanced analytical and quantitative skills. Draws upon the analysis of others and makes recommendations that have a direct impact on the company. OTHER SKILLS and ABILITIES Strong computer skills, including specific knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.). Broad experience with other software and financial systems is desired such as HFM Consolidation, PeopleSoft Financials and Cognos Planning. Knowledge of real estate service industry and terminology is helpful. Strong work ethic and adaptable.
