TWC is seeking a full-time Team Leader and Project Manager for our Atlanta office. The position is for local/remote support. The Court Reporting/Transcription Team Leader will provide team leadership and can expect to perform a wide range of Project Management and Team Lead support activities for the department and/or upper management to facilitate the efficient operation of the organization.

General Job Requirements

  • Management of transcript production for multiple clients from inception to delivery.
  • Transcribe medical/legal recordings received from clients.
  • Management of a multiple person in-house team, employees and IC of scheduling coordinators, editors, audio technicians, and account managers to ensure professional and accurate transcriptions.
  • Collaborate with sales team to aid in increasing sales to new and existing clients.
  • Communicate with clients to provide a smooth workflow and problem solve issues.
  • Vendor recruitment and management of remote staff of transcriptionists, translators, writers, and audio technicians.
  • Responsible for a monthly sales report for the production team.
  • Identify new business opportunities within the Federal and Commercial spaces.
  • Experience with applications and equipment used for both Transcription and Court Reporting (OneHub, Box, etc.)
  • Provide upper management with weekly reports regarding contracts, workflow, contractors and in-house employees production.
  • Plan and accomplish goals and perform a variety of complicated tasks independently and without supervision.
  • Utilize excellent customer service and interpersonal skills to include a friendly, helpful, and respectful attitude, a willingness to assist others and a determination to solve problems and meet all given deadlines.
  • Ability to read and understand contract requirements.
  • Documents, tracks and monitors issues to ensure a timely resolution.
  • Ability to create and maintain filing systems and to organize and neatly manage documents according to relevant regulations.
  • The ability to perform responsibilities with a high degree of discretion for handling sensitive and confidential information.
  • The ability to take initiative and communicate effectively. Possesses excellent written and verbal skills. Ability to effectively communicate with high levels of management.

Duties for CR-T Division

  • Bring in the Task Orders from BVA from Box; trim the audio files. Assign work to transcriptionists. Collaborate with other members to develop and implement work coming in and going to Proofreading Department.
  • Keep track of Court Reporting Spreadsheet and calendar.
  • The Transcriptionist will adhere to confidentiality and data protocols, maintaining the utmost professionalism and discretion.
  • Experienced proofreader: Review documents for grammar, spelling, and style /Make corrections and suggest edits to the document.
  • Send Court Reporters links and information on court proceedings that will be worked on the week before when its decided who will be on what proceeding, making sure to resend the proceeding information the night before to confirm attendance for the next day.
  • Properly fill out and maintain pertinent information on the calendar and spreadsheet so that on the back end (proofreading and formatting as well as invoicing) are clear on important information.
  • Bring in the Task Orders from BVA from Box; trim the audio files. Assign work to transcriptionists. Collaborate with other members to develop and implement work coming in and going to Proofreading Department.
  • Comply and meet project deadlines.
  • Accurate and error-free written transcripts of audio recordings.
  • Transcripts delivered in the specified format and within the agreed-upon timeline.
  • Well-organized court reporting schedule.
  • Timely assignment of court reporters to legal events.
  • Effective communication with stakeholders and timely resolution of any reporting-related issues.

Duties for B&D for CR/T division:

Build and expand the CR/T department.

Will be responsible for the full process to identify the state contracting site (Transcription and/or Court Reporting).

Will be responsible for the day-to-day internal management of Court Reporters

Will be the front facing contact with all contractors, governmental and in-house.

  • Will focus on identifying and registering the company on large corporation sites in their diversity portals.
  • Required to assist with RFQs, RFIs, MR, SS, and Solicitations for the CR/T department, not limited to providing information regarding capabilities.
  • For anything requiring capabilities statements (CS),
  • Responsible for scanning various sites for any new opportunities that would be appropriate for the CR/T department and create a folder with the pertinent documents necessary to bid on in it.
  • Required to provide weekly reports to upper management.
  • Attending Prebid conferences.
  • Responsible for maintaining the Request for Bids folder with open bids and following through on getting decisions of who won bids.
  • Ensure the company follows all Government contract requirements.
  • Well organized court reporting schedule.
  • Effective communication with stakeholders and timely resolution of any reporting-related issues
  • The Court Reporting Manager will oversee the scheduling and coordination of court reporters for various legal events.
  • The Manager will liaise with attorneys, judges, and other legal professionals to determine reporting requirements and ensure accurate and timely delivery of transcripts.
  • The Manager will maintain records of court reporting assignments, track progress, and address any issues or concerns that may arise.

Requirements

  • Strong team player
  • Ten years experience with CR/T
  • Five years of more of Transcription and Court Reporting (OneHub, Box, etc.)
  • Excellent work ethic skills
  • Bachelor's degree preferred or seven to ten years equivalent experience
  • Clear understanding of Medical/Legal terminology
  • Excellent customer service skills
  • Able to comply with strict deadlines.
  • Previous Project Management experience
  • Excellent communication skills
  • Proficient in using Microsoft Office products including Excel and Microsoft Word.
  • Must be able to successfully pass a Federal Government Level background check
  • Excellent Typing Skills: Team Lead need to have fast and accurate typing skills to efficiently transcribe audio or video recordings.
  • Strong Listening Skills: They should have a keen ear to understand and interpret spoken language accurately, even in challenging audio quality or with accents.
  • Language Proficiency: A high level of proficiency in the language they are transcribing is essential. They should have a strong command of grammar, punctuation, and vocabulary.
  • Attention to Detail: Team Lead must pay close attention to detail to accurately capture every word, phrase, and nuance in the recording.
  • Experience with eBuy and Sam.gov
  • Time Management: They should be able to work within deadlines and manage their time effectively to meet transcription turnaround times.
  • Familiarity with Transcription Software: Knowledge of transcription software and tools is important for efficient transcription work. Familiarity with foot pedals, playback controls, and text expanders can significantly improve productivity.
  • Research Skills: Transcriptionists often encounter unfamiliar terms or references and should have the ability to research and verify information to ensure accuracy.
  • Confidentiality: They must maintain strict confidentiality and adhere to privacy regulations, as transcription often involves sensitive and confidential information.
  • Bilingual in Spanish is a plus
  • Certified Court Reporter a plus
  • Notary Public a plus
