As the Special Order Fulfillment lead, you will be responsible for ensuring that all special orders are shipped to the appropriate recipients in a timely and accurate fashion. Special orders may include corporate gifting, Bordeaux futures, wine clubs, and other bulk orders.

As part of this role, you will work with a cross-functional team, including our Corporate Gifting & Events Manager, our wine buyers, and our internet fulfillment team. You will be trained on how to use various software programs that help facilitate our Special Order fulfillment process, including Airtable, Slack, Microsoft Office, our POS, and our eCommerce platform / CRM. You will also be trained on how to ship wine in bulk with our various fulfillment partners, including UPS and Fedex.

Due to the importance of properly fulfilling special orders, this is a very high visibility role, with a direct line of communication to the corporate leadership of the company.

The Special Order Fulfillment lead will have the following responsibilities:

• Processes special orders in a timely and accurate manner providing all necessary order documentation.
• Verifies that wine and other products have the correct specifications (e.g., correct vintage, correct size, etc.)
• Ensures that special orders are packed in aesthetically pleasing packaging (e.g., if a corporate gifting client orders gift baskets, the expectation is that the gift baskets are professionally packed)
• Ensures that special orders are appropriately charged out, reconciling the invoice amount with the products that were included in the special order
• Corresponds with customers as needed with complete and prompt follow-through to completion
• Pack, label, and ship wine orders
• Handles customer service calls in regard to special orders
• Pulls wines and other products for orders as needed
