The Aviation Security and Public Safety Department are looking for a customer service driven individual with a demonstrated knowledge and skill in providing high-level administrative support to departmental senior staff to ensure efficient operations of the office. The Staff Assistant will assist with establishing and organizing departmental programs, agreements, and filing systems while interpreting Authority regulations, policies, and procedures relevant to the department's functions. Enjoy a flexible telecommuting schedule (currently 2 days remote, 3 days on-site) as you assist with supports management through a variety of responsibilities related to communication within the department as well as tenants, consultants, and other stakeholders.

The selected candidate will:

  • Performs work with a significant degree of complex technical and administrative work in support of a departments core functions and processes, examples of which include: reviewing and processing agreements, rights-of-entry, and other documents, ensuring information is complete; tracks contract processing; contacts tenants, consultants and other stakeholders regarding document processing; researches, compiles and prepares grant submittals; tracks scopes of projects, expenditures, and cost estimates; reviews and updates department procedures.
  • Assists with the development and maintenance of department programs and services; develops and maintains department databases; coordinates department meetings, develops reports, and PowerPoint presentations.
  • Interprets Authority requirements, such as regulations, policies, and procedures as they relate to department functions or programs; distributes handouts and applications; develops and maintains recordkeeping process; serves as the Departments Records Coordinator; collects data and information; issues permits; provides information to the public regarding Authoritys services and refers complaints to an appropriate person for action.
  • Gathers information for the departments budget and input information into various formats; tracks purchases and monitors budget balances; prepares budget reports.
  • Prepares technical worksheets, tables, and computations; establishes and maintains complex databases; processes forms, documents, and data; processes payments for Department contracts and services; ; makes mathematic or statistical calculations; researches and assembles information from a variety of sources for the preparation of records and reports.

  • Communication: Proficiently exchange information through various avenues including verbal, digital, written, facilitation and persuasion with both internal and external stakeholders.
  • Judgement & Decision Making: Ability to use appropriate judgement and confidentiality in selecting procedures, conducting transactions with other departments, vendors and the public and solving non-routine problems based on experience-based knowledge.
  • Customer & Personal Service: Aids and supports departmental staff and outside stakeholders on diverse and specialized clerical functions with a friendly and welcoming demeanor.
  • Time Management & Coordination: Ability to prioritize rapidly moving deadlines and various tasks to meet department needs and manage personal workflow.
  • Leveraging Technology: Proficient in computer systems, MS Word, Excel, PowerPoint, spreadsheets, and other software.

Requirements

Required Education, Training and Experience:

  • Graduation from high school or G.E.D. equivalent.
  • Three years of increasingly responsible technical or administrative support experience.
  • Equivalent combination of training and experience.

Licenses, Certifications, and Special Requirements:

A valid California Class C driver's license and the ability to maintain insurability under the Authority's Vehicle Insurance Policy.

Desirable Qualifications:

  • Certification as a Professional Administrative Certification of Excellence (PACE) or Certified Administrative Professional (CAP)

The hiring salary is $46,959.

The salary range for the Staff Assistant is $40,136 - $64,218.
