The Administrative Assistant (AA) works under the direction of the Administrative Leadership Team and supports departments within the organization. This position requires a team player who is organized, client focused, open to learning and can follow directions.

Responsibilities:

  • Works with Teams phone system to answer incoming calls and makes decisions in relation to call handling including transferring to mailboxes and taking messages. Provides callers with information in relation to the company such as address(s), location(s), directions, website and other related matters.
  • Meets and greets visitors: checks arrivals identification, implements guest protocols if required, and calls staff to escort them through the facility.
  • Opening, distributing, and filing incoming and outgoing mail, and schedules pick-up and delivery of express mail services such as overnight and same day delivery.
  • Maintaining electronic files and filing systems in accordance with internal client requirements.
  • Provides copying, scanning, and binding of documents and the courier/transfer of documents internally and externally.
  • Schedules conference rooms for meetings and provides conference room and meeting information for visiting staff and attendees.
  • Coordinates food catering orders including, placing/receiving, setup and clean up before and after meetings.
  • Works with facilities on building and maintenance related requests and orders supplies or groceries for the office or departments, as needed, or as requested.
  • May plan or assist with the planning of company-related social events.
  • Creating straightforward documents for the groups members using standardized formats including memoranda and reports. May be required to transcribe verbal directions.
  • Providing administrative support for the onboarding of new hires into the department(s) and exiting of employees.
  • Using and maintaining all equipment including computers, copy machines, and postage machines. Coordinating with facilities and IT for purchase, implementation, and repair/troubleshooting of equipment.
  • Process petty cash expense reimbursements as required.
  • Under direction of the Administrative Leadership Team, ensures that new processes and programs are implemented uniformly.

Requirements

  • High School Diploma or equivalent.
  • One year of administrative experience.
  • Proficient in Microsoft office, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Working understanding of cloud-based applications.
  • Basic knowledge of database systems preferred.
