Echoing Green is seeking a Specialist, Executive Office Operations, to provide critical administrative support to Echoing Greens President. Reporting to the Chief of Staff, the Specialist will handle all administrative aspects of supporting the President with an eye toward efficiency.

This role requires a passion for supporting organizational leaders to do their best work, understanding the importance of handling confidential information with the highest level of discretion and tact, superb organization and communication skills, exceptional written skills, and the ability to juggle competing priorities.

In June 2020, Echoing Green launched a $50 million Racial Equity Philanthropic Fund (REPF), increasing that fundraising goal to $75 million. With this fund, Echoing Green furthers a 35-year commitment to bold, strategic investments in racial equity work. Echoing Greens Programs Team is responsible for selecting and supporting the Fellows who are selected as part of the REPF, offering funding and capacity-building for the incredible leaders working on the frontlines of racial equity and justice.

SCHEDULING AND CALENDARING

  • Maintain schedule for the President, including day-to-day and long-term planning
  • Act as the gatekeeper to the Presidents schedule to ensure that her time is being used efficiently
  • Respond to incoming requests within one business day with a resolution or a timeline
  • for follow-up
  • Strategically manage the executives calendar by including relevant agenda links, supporting documents/attachments and necessary context for each meeting
  • Proactively resolve conflicting calendar invites both in real-time and in advance (2 to 3 months out)
  • Serve as an ambassador for Echoing Green, creating an excellent first impression of the organization as the first point of contact for a wide variety of high-level relationships between the President and outside contacts

ADMINISTRATIVE AND TRAVEL SUPPORT

  • Assist in planning domestic and international travel, including researching air and ground transportation and ensuring that the Presidents travel is comfortable and cost and time-efficient
  • Track monthly credit card expenses for the President and submit to the Finance department
  • Create and maintain an efficient email sorting system to respond, delegate, archive, unsubscribe, or escalate messages as appropriate
  • Register the President of events conferences and fill out speaker forms on her behalf

BOARD SUPPORT

  • Assist in scheduling quarterly Board of Director and Committee meetings
  • Schedule Board related meetings as needed
  • Assist with Board event logistics and other Board-related administrative functions

Requirements

  • 8+ years of senior executive administrative experience; preference for experience in nonprofit management or philanthropic fields.
  • Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting
  • Meticulous about details and follow-up; subscribes to the belief that no task is too big or too small
  • Proactive and able to look ahead to coordinate planning/prep and solve foreseeable challenges weeks or months in advance
  • Excellent relationship builder; able to communicate with firmness and warmth and demonstrate a high level of tact, discretion, humility, and diplomacy with all internal and external stakeholders
  • Demonstrated ability to maintain confidential/sensitive information
  • Demonstrated ability to cope with change/ambiguity effectively; can anticipate the impact of change and use ingenuity to deal with ambiguous situations
  • Superb communication skills (oral and written) with a confident, concise, clear and compelling style

Base Salary: $84,000/year

This position is hybrid, metro Washington, D.C. area, While we expect to close this search with an offer by November, the hired candidate will be expected to start onboarding in the New Year of January 2024
