Location/Workplace

This position is based in Denver, CO requiring 2-3 days/week in the office.

About the Role

We are seeking a highly motivated, detail-oriented, and energetic Office Manager / Administrative Assistant to join Wellmores People & Culture Team. You will be responsible for managing the office environment, ensuring smooth day-to-day operations, and creating an efficient and organized workplace. You will also provide support to our CEO and People & Culture team. In this role, you will get the opportunity to work with driven, passionate individuals and be a part of a fast-growing company.

What Youll Do

Office Management

  • Maintain the professional appearance of the Denver, Vancouver and Grayslake offices
  • Order office supplies and snacks for all offices (Denver, Vancouver and Grayslake)
  • Manage all meeting logistics including scheduling, setting up, ordering of food, in multiple offices
  • Plan office functions, get together, townhalls, and other events
  • Lead, manage and coordinate annual all staff meeting

People & Culture (HR) Support

  • Order and ship out new hire computers, swag packages, employee free product
  • Complete new vendor and new employee set up forms for P&C team
  • Submit expense reports on expense software
  • Conduct new hire on boarding training
  • Manage the Wellmore calendar (company meetings, events, etc)
  • Keep HR policies updated in SharePoint
  • Plan and coordinate team and holiday events (in person and virtually)
  • Reconcile and provide accounts payable coding for Canada benefit invoices

Executive Assistant

  • Manage the CEOs calendar: adjusting logistics, scheduling and reworking meetings, and maintaining clear communication with all parties as needed
  • Plan, coordinate, and manage domestic and international travel arrangements for the CEO
  • Handle sensitive and confidential information with diplomacy and discretion, as well as a high degree of accuracy and attention to detail
  • Attend meetings as needed, taking meeting minutes and following up on action items
  • Maintain and submit monthly expense reports for the CEO
  • Assist with CPO travel and expenses when needed
  • Assist with special projects as needed

Requirements

What Were Looking For

  • 5+ years of experience in an office manager/administrative assistant role with experience supporting an executive
  • Strong office management and administrative skills
  • Proficiency in Microsoft Office applications (especially Outlook)
  • Experience with Planner or Trello preferred
  • Excellent written, verbal, and interpersonal communication skills required, with an acute ability to listen attentively and to communicate effectively throughout all levels of the organization
  • Proactivity, an ability to anticipate needs, and excellent judgment, able to act in a confidential manner
  • High attention to detail with a no-task-too-small mindset
  • Fast learner who operates with a sense of urgency on a daily basis.

The annual base salary range for this full-time position is $70,000 to $78,000 USD/year. This position is also eligible for short- and long-term incentives. The actual annual base salary offered may be adjusted based on a variety of factors, including but not limited to, location, education, skills, training, and experience.
