OPPO U.S. Research Center (Palo Alto) is looking for a responsible Bilingual/Mandarin Administration Manager to perform a variety of administrative and clerical tasks. Duties of the Administration Manager include providing support to our managers and employees, assisting in daily office needs and managing our companys general administrative activities. Administration Manager responsibilities include making travel and meeting arrangements, previous experience as a Secretary or Executive administrative assistant and familiarity within our industry is highly preferred. Ultimately, a successful Administration Manager should ensure the efficient and smooth day-to-day operation of our office.

  • Perform receptionist duties: greet and assist visitors to the office, provide telephone and e-mail coverage or face to face enquiries, receive, sort and distribute the mail, and handle urgent calls and e-mails with appropriate judgement.
  • Handle organizational and clerical support tasks to maintain an efficient office environment and perform all administrative duties in the office and ensure that office is operating smoothly.
  • Organize and schedule meetings and appointments, maintain meeting rooms and conference system, take accurate minutes of meetings.
  • Ensure operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, evaluating new equipment and techniques.
  • Responsible for the purchasing and maintenance of office supply and breakroom inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Responsible for processing POs, track status, follow up, maintain records, upload receipts to QB.
  • Submit, reconcile expense reports, reallocate and substantiate receipts, and prepare and monitor invoices.
  • Assist with on-boarding and off-boarding, such as prepare computers and other testing devices, prepare badges and name tags, organize new hire orientations, asset list generation and verification.
  • Take charge of asset management
  • Organize travel arrangements for senior managers, guests, customers, hiring candidates.
  • Coordinate office procedures, carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Assists with offsite and onsite meetings and other special events that may include logistic organization, catering needs, material preparation.
  • Research and create presentations, generate reports, assist in the preparation of regularly scheduled reports.
  • Streamline, develop and update administrative systems to make them more efficient, develop and maintain a filing system.
  • Provide administrative support for visa application to internal employees and external partners and visitors.
  • Handle multiple projects.
  • Assist executives with duties on an as needed basis.
  • Perform work related errands as requested such as going to the post office, vendor sites.

Requirements

  • Mandarin Chinese Speaking is highly preferred
  • Past experience as an administrative assistant, virtual assistant or office manager
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Bachelors degree required
  • Previous Executive Assistant or Administrative Assistant experience highly preferred.

The US base salary range for this full-time position is $50,000-$100,000 + bonus + long term incentives benefits. Our salary ranges are determined by role, level, and location.
