We are currently recruiting an Office Administrative Assistant, reporting to our VP, Organizational Development & HR(link removed) In this role, you will be responsible for a wide variety of tasks to support the general operations of business and teams. This unique opportunity will allow exposure to learn different areas of the business.

What You Will Do:

Projects:

  • Provide administrative assistance to different departments based on project needs. This may include but is not limited to maintaining digital files and SharePoint sites, data entries, transferring of information between files or systems, scanning and/or managing filing of documents. Projects will vary based on the current needs of the business operations.
  • Provide administrative support to Corporate Leadership Team as needed, including scheduling meetings, coordinating meals, welcoming external guests, and sending out customer packages.

People & Culture:

  • Support recruiting efforts by scheduling interviews for hiring managers.
  • Execute Events Committee calendar, projects, and culture-building initiatives, including coordinating events and activities, researching potential options, ordering food and/or supplies, and post-event clean-up. Creatively decorate the office for special events or celebrations for our team members (e.g., birthdays, baby, or bridal showers).
  • Set up the Weekly EnGadgement company meetings to deliver a positive experience for attendees; prepare drafts and finalize the weekly presentations.
  • Support the onboarding process of new hires by ensuring desk space is welcoming, coordinate IT setup, create welcome gift bags and schedule onboarding meetings as needed.
  • Manage the ordering and tracking of company swag items and inventory.

Office Management:

  • Serve as the primary person to resolve office-related issues and engage with office building management for all service requests.
  • Serve as a receptionist answering phone calls to our main office promptly, and forward messages or calls to the appropriate department or recipient.
  • Maintain all FedEx authorized users, and order necessary supplies for shipments.
  • Review and distribute all inbound mail and packages. Assist all departments with outbound shipments.
  • Order and maintain proper inventory of office supplies (e.g., printing supplies, pantry items, etc.).
  • Track receipts and expenses against budget, and file expense reports.
  • Maintain a pleasant office space including tidying up conference rooms, kitchen space, managing the office cleaning schedule, and coordinating additional cleaning services as needed

Requirements

Must-Haves:

  • College degree or at least 1 year of work experience as a receptionist/administrative assistant in a fast-paced work environment.
  • Highly organized with project coordination experience.
  • Tech-savvy with basic to intermediate knowledge of Microsoft 365 products, and innate ability to learn new technologies and tools.
  • Excellent interpersonal skills and ability to communicate with all levels of the organization.
  • Ability to exercise mature, independent judgment to maintain efficiency and accuracy while demonstrating exceptional collaborative skills.
  • Demonstrated success being a team player and able to work independently.
  • Ability to lift and organize bulky items or boxes occasionally.

  • Interest in packaging, supply chain, and manufacturing industry.

This role will be based in our office located at 3000 Marcus Avenue, Suite 3E03, Lake Success, NY 11042.

The salary range for this role is $200,000 - $230,000 commensurate with the candidate's experience.
