Athena is looking for an Events and Engagement Coordinator with a passion for event planning, problem-solving, managing change, and improving efficiency. We work in a spirited, fast-paced, and ever-changing environment, and were looking for someone who can hit the ground running and thrive in this setting.

The Events and Engagement Coordinator plays an important role in shaping our programs by participating in developing events and later supporting the execution of our produced programs.

Events are primarily live, in-person events, often with a hybrid/remote audience. The Events and Engagement Coordinator will report to the Senior Manager of Client Engagement while coordinating across production and department verticals; creative, administrative, and technical, to ensure all team members are communicating effectively. This allows us to ensure all our programs and production are met with the highest of standards.

Programs produced include, but are not limited to:

  • Live Broadcasts
  • Corporate All Hands/Internal Meetings
  • Strategic Conferences
  • Marquee Speakers & Employee Talks
  • Film Screenings, Performances, Experiential Activations

Requirements

What youll be responsible for:

  • Assisting in formulating, organizing, and monitoring interconnected projects with a focus on strategic planning and seamless execution.
  • Collaborating with internal and external clients to understand their vision, objectives, and preferences and assisting in incorporating feedback into marketing and event strategies.
  • Supporting the development and execution of event strategies aligned with client goals.
  • Assisting in coordinating with internal and external stakeholders across various disciplines to contribute to successful event outcomes.
  • Assist in ensuring event initiatives align with the venues brand and messaging, reinforcing a positive brand image.
  • Support the development of a comprehensive communication strategy for events.
  • Contributing to the implementation of visually appealing event designs, including stage setups, signage, and thematic elements.
  • Assisting in managing event technical needs, collaborating with art and technical crews, and contributing to ideation and problem-solving.
  • Facilitate vendor communication, vendor contracts, and budget reporting to clients and internal stakeholders.
  • Providing support in real-time review and editing of projects as needed to ensure timely delivery.
  • Assisting in maintaining detailed records and participating in team calls to ensure alignment and understanding of individual responsibilities.
  • Consistent participation in on-site event execution, potentially involving evening and weekend commitments and/or travel.

  • Strong organizational skills and attention to detail.
  • Eagerness to learn and contribute to the development of efficient strategies and tactics.
  • Interest in project coordination or management roles.
  • Basic understanding of project management techniques and methods.
  • Ability to support programs to deliver desirable outcomes.
  • Good communication skills.
  • Detail-oriented and organized.
  • Self-motivated with a willingness to learn and solve problems.
  • Creative and analytical thinker.
  • Ability to handle basic quantitative and technical duties.
  • Interest in budget management and financial reporting.
  • Interest in design and implementing visual elements of an event.
  • Ability to juggle multiple tasks while collaborating with teams.
  • Strong communicator with the ability to prioritize tasks.
  • Willingness to learn and take direction.
  • Basic proficiency in Excel and PowerPoint.
  • Strong writing skills.
  • Bachelor's degree from a four-year college or university is a plus.
  • 1-3 years of relevant professional experience or internship experience is a plus.
