Position Overview and Responsibilities:

The selected candidate will report directly to the Bureau Chief of Building Systems and is responsible for providing administrative assistance to help support operation of 12.6 million square feet of real estate in the Florida Facilities Pool. This role requires researching and gathering data, organizing files in a logical fashion, updating document management and information systems, independently initiating new tasks, and may occasionally support other bureaus within the Division of Real Estate Development and Management. Specific key responsibilities include, but are not limited to, the following:


  • Prepare, store, and retrieve information in paper and digital form.
  • Upload and download electronic files in document management system.
  • Organize files in Microsoft Office 365 applications and information systems. Purge unnecessary files. Archive files for historical purposes.
  • Coordinate the collection and presentation of data for use in formal reports. May create draft reports.
  • Track the status of any fire code violations, fire alarm inspections, and fire sprinkler inspections. Coordinate updates from Facility Managers and update accordingly in the tracking system. Forward updates to the State Fire Marshalls office.
  • Transcribe utility data from monthly utility bills. Assist with providing data in format needed for upload into various systems. Update tracking systems as appropriate.

Knowledge, Skills, and Abilities:

  • Ability to collect and accurately document large volumes of numerical data.
  • Skilled use of Microsoft Office 365 Applications and standard desktop computer to input, view, retrieve and print information.
  • Ability to be punctual and dependable.
  • Ability to learn and apply new skills.
  • Ability to communicate professionally and effectively, both verbally and in writing.
  • Ability to utilize problem-solving and decision-making skills to reach an acceptable outcome.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proficient in Microsoft Office 365 applications Word, Excel, PowerPoint, Outlook, Teams, OneDrive, and SharePoint.
  • A valid and applicable drivers license.
