Required qualifications
  • BA/BS plus at least two of related experience, or a combination of related education and work experience equal to six years
  • Excellent written communication skills, including experience in drafting of executive level correspondence
  • Demonstrated problem solving skills with two years of experience in project management
  • Ability to manage multiple deadlines and requests in a fast-paced environment
  • Demonstrated ability to work independently and as part of a team
  • Strong attention to detail, deadlines, and deliverables
  • Demonstrated track record of increasing responsibility, through either work experience or volunteering
  • Demonstrated ability to maintain discretion and confidentiality

Preferred Qualifications
  • Familiarity with the University of Minnesotas organizational structure and research and outreach activities
  • Familiarity with Minneapolis and St. Pauls not-for-profit and community-based economic development, health-based, and arts and cultural organizations
  • Strong interest and proven dedication to community-based work, through education, work or volunteer experience
  • Demonstrated track record and commitment to equity issues including but not limited to; BIPOC, LGBTQIA+, ability variation

This Assistant to the Executive Director and Project Coordinator is a full time position reporting to the Executive Director of UROC. The position will also staff the Executive Director and be responsible for the administrative management of some of UROCs signature projects, events, and programs. The successful candidate requires strong organizational and interpersonal skills, initiative, strong work ethic, the ability to work well with a team, and excellent oral and written communication skills.

This is a 100% time, 12-months continuing Civil Service position (classification 8208A2, Admin Associate 2).

JOB DUTIES:

Project Management (35%):

  • Responsible for oversight and management of select ongoing UROC projects, events, and programs
  • Serve as administrative and logistical lead in the coordination of annual and semi-annual events and projects including UROC Critical Conversations, UROC Community Day, and Quarterly Affiliate Discussions
  • Manage special, ongoing or temporary projects as needed with responsibilities including: communications, budget, reporting, and personnel
  • Coordinate UROCs participation in annual community events and celebrations including Family Day, National Night Out, Juneteenth, FLOW Arts Festival, etc.
  • Coordinate UROCs participation in University events including Welcome Week, New Student Orientation, Graduate Student Resource Fair, Homecoming, etc.

Assistant to Executive Director (65%):

  • Administrative support for UROC Executive Director
  • Manage the Executive Directors calendar, including scheduling appointments, arranging meetings, providing reminders, and preparing meeting materials
  • Process Executive Directors travel needs, including conference registrations, air travel, hotel accommodations, car rentals, expense reimbursements, and other travel-related needs.
  • Provide staff support to Executive Director during meetings (take meeting minutes, write up and distribute meeting notes, etc.)
  • Facilitate correspondences for the Executive Director; compose and prepare memos and materials
  • Secure logistical arrangements for meetings (room reservations, catering, audiovisual, etc.)
  • Process University procurement-cards for the Executive Director
  • Assist with filing
  • Coordinate and provide staff support to UROCs Executive Advisory Committee, Community Affairs Committee and monthly building meetings
  • Assist with the operation of the Robert J. Jones Urban Research and Outreach-Engagement Center, including registering participants, preparing name tags, staffing registration desk, securing menus and meals, etc.
  • Respond to inquiries for the Robert J. Jones Urban Research and Outreach-Engagement Center
  • Other duties as assigned

WORK DAYS: Monday to Friday

WORK HOURS: 8:00am to 4:30pm

WORK MODE: Hybrid (some in person and some remote)

SALARY RANGE: $50,000 to $56,000
