About the role

Casa Esperanza is currently seeking a motivated and detail-oriented individual to collect data for federal, state, and private grant funded programs embedded, as we work toward approval of our Certified Community Behavioral Health Center.

Grant Data Specialists work with the clinical team at Casa Esperanza to determine patient eligibility for grant funded services and work in collaboration with patients and direct care staff to assist patients in identifying and engaging in services within Casa that they might benefit from. After confirming eligibility, Grant Data Specialists will meet directly with patients to conduct patient interviews, document their responses, and enter data into SAMHSAs SPARS platform, ensuring a high degree of accuracy and timeliness in both collection and data entry.

The Grant Data Specialists will work in collaboration with the Research & Evaluation team to ensure that Casa is meeting enrollment and follow up expectations for each grant well as providing support for preparing reports, completing and submitting administrative paperwork, and complying with all ethical, data security, and confidentiality requirements.

Casas data collection and evaluation work is aimed at identifying gaps in services and improving care for patients at Casa Esperanza, Inc.and more broadly within the Commonwealth of Massachusettsbut also contributing to the body of knowledge available both nationally and internationally on the unique challenges and strengths of the Latinx community in addressing the behavioral health needs of underserved Latinx individuals and families. Current projects include SAMHSA sponsored integrated behavioral health and primary care services, medication assisted treatment, re-entry services, supported employment, HIV services, peer recovery supports, and housing search and stabilization initiatives.

What you'll do

  • Responsibilities: Grant Data Collection & Entry
    • Meet with patients to provide information regarding the different grants to patients and staff and provide referral to recovery support and treatment services.
    • Conduct patient interviews in their preferred language.
    • Ensure accuracy of data collected prior to data entry, make necessary edits in Qualtrics to resolve discrepancies.
    • Ensure data from Consolidated Survey is entered into SAMHSAs SPARS system for each grant within the required 7-day window.
    • Ensure data entry date is logged in SPARS log and Consolidated log.
    • Enter benefit assignment for all patients into electronic health record (Evolv).
    • Proactively contact patients who are coming up in the follow-up window to ensure successful follow-up rates.
    • Complete the Locator form with patients contact information, and consent form with each patient at intake interview.
    • Support team in collecting data required for annual audit, site visits, or other compliance related matters.
    • Distribute incentive to patients after completing follow up interviews when applicable.
    • Follow all Safety and confidentiality guidelines stablished by 42CFR and HIPPA.
Administrative
  • Document all client encounters and other data as required and maintain up-to-date client records.
  • Ensure data collection requirements are completed within specified time frames.
  • Ensure timely documentation of data entry and related data issues.
  • Attend bi-weekly supervision with Associate Director.
  • Attend all relevant staff meetings, as needed.
  • Ensure program is meeting state and federal standards of care and reporting requirements.
  • Support with all bi-annual, annual, and final reports and ensure they are completed and submitted within specified time frames.
  • Other duties as assigned.

Qualifications

  • Previous experience with interviewing/data collection/data entry
  • Knowledge of Substance Use Disorder and Mental Health resources
  • Experience doing outreach and follow up to individuals with substance use disorders and/or mental illness. addiction, mental illness, trauma and violence.
  • Strong attention to detail
  • Familiar with social, health and cultural issues specific to the Latino population
  • Ability to work as a team member & independently
  • Understanding of harm reduction techniques
  • Strong verbal and written communication skills
  • Strong interpersonal skills and crisis management skills
  • Minimum High School Diploma required
  • Valid Massachusetts Drivers License
Schedule

Monday - Friday, 9am - 5pm

While performing the duties of this job the employee is regularly required to walk, stoop, kneel, crouch or crawl and talk or hear. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include distance vision, peripheral vision, and depth perception.
