The Program Administrative Assistant is responsible for managing daily operations at the 33 West office and the 100 N. Western location including answering phones, maintaining the fax machine, greeting visitors and supply ordering. This position will also provide administrative support to the Early/Head Start Network as needed.


Responsibilities:



Collaborates with the Early/Head Start Network Training Logistics Team to ensure all aspects of event logistics are being effectively and efficiently performed. Provide direct on-site support for trainers, consultants, and other staff before, during, and after events.

Provides support to the Early/Head Start Network to ensure the continuing success of new and ongoing initiatives and projects.

Responsible for division procurement, including but not limited to maintaining, tracking, and ordering event and office materials, supplies, and equipment. Works with our division to plan off-site training and meeting events.

Assist with drafting routine division correspondence such as announcements, flyers, letters, emails, and routing communication to the appropriate areas.

Enter invoice requests and processing per established process.

Produce materials for Policy Council and Program, Design and Management events, including folders, handouts, name badges, wall postings, etc.

Assists Healthy Parents & Babies with various daily operations and short and long-term projects for the network and organization.

Provide administrative support to Vice President of Early/Head Start Network and Policy Council of Start Early. Support includes advanced clerical tasks, minutes recording and distribution, scheduling/reservations, and bookings for various functions, document production, creation and distribution and backup reception, purchasing and Policy Council meetings. Schedule meetings, and manage the calendar of Vice- President as needed. Assist leadership team with daily operations and short and long-term projects.

Perform other job-related duties as requested.



Qualifications:



Associate of Arts, with 3-5 years of experience (Business Management or a related field)

Minimum of two years of relevant experience. Previous Front Office experience: customer service and general computer experience required.

Bilingual Preferred.

Proficient in operating office equipment (phones, computers, fax machines, etc.).

Strong proficiency with Microsoft Office products (Word, Excel, Outlook, Access, PowerPoint). Ability to learn and master other computer technology/software programs as needed.

Strong communication (written and verbal), organizational, interpersonal, analytical, time management, and problem-solving skills, with exceptional attention to detail.

Extensive scheduling experience for executives.

Sophisticated training on web-based systems (e.g. Microsoft suite products).

Working knowledge of Internet research and word processing software, especially Word, Excel, Outlook, and PowerPoint.

Solid understanding of adult learning styles, distance learning, and professional development.

Strong interpersonal, organizational, communication (written and verbal), analytical, time-management, and problem-solving skills with exceptional attention to detail.



Salary: We believe that all employees should be paid fairly and equitably. As of the time of this posting, the expected base annual salary range for this position is $46,000.00 - $49,000.00. The base annual salary will be based on a wide range of factors, including skills, qualifications, experience, as well as business needs and limitations.
