The Shared Services Data Assistant will manage insurance policy information. This position works closely with the client service teams to support the renewal and new business marketing and policy process.


JOB FUNCTIONS & RESPONSIBILITIES:


Manages Insurance Policy Information: Collects, enters, and maintains insurance policy information received by the client service teams. Reviews and updates information as needed to ensure accuracy and validity of information. Notifies and works with Shared Services management and IT to resolve data issues.

Effectively coordinate & communicate with Producers, Account Managers & Other Service Team Members. Using the systems and processes in place, communicate with all members of the Service Team.

Monitors, collects and processes policy documents from insurance carrier portals. Oversees other sources who assist with this process and notifies and works with Shared Services management and IT to resolve related issues.

Process and distribute insurance policies in conjunction with Grahams Policy Checklist Coordinator and client service teams.

Manages projects related to Data Transformation Services.

Monitors, collects and prepares loss run information for the client service teams for the clients renewals.

Maintains all stored documents in designated electronic system and updates all databases as needed. This includes scanning and printing.

Maintains workflow process and quality assurance standards within Graham guidelines.

Prepares and sends correspondence on behalf of team members.

Creates reports for clients, underwriters, internal teams as needed.

Attends meetings relating to position and coordinates units team meetings.

May pursue professional designations to support job related knowledge.

Performs various other duties and projects as needed including assisting other units, billing, loss summaries, updating specs, assisting with check listing, and other tasks.


JOB SPECIFICATIONS:


A high school diploma required with 3-5 years of administrative experience.

High proficiency in MS Office Suite.

Ability to use discretion and maintain confidentiality.

Above average spelling and grammar skills.

Ability to work in a team environment.

High level of organizational ability and ability to multi-task.

Professional demeanor.

Ability to be proactive and work independently.

Ability to work under tight deadlines.

Detail-oriented with good analytical skills.

Proficient in Graham standard computer applications.

Regular and predictable attendance in accordance with the limitations and reporting procedures established by The Graham Company from time to time.
