Summary / Role Purpose
The Senior HR Coordinator will provide full administrative support to the head of Human Resources and be responsible for a broad range of administrative duties within the HR department. The Senior HR Coordinator will work closely with the HR talent management team and across the HR Leadership Team to provide coordination and support of various HR projects to ensure consistency and predictability of HR project delivery. This role requires a high level of professionalism in dealing with senior business leaders inside and outside the organization, and a high level of integrity and discretion in handling confidential information, along with the professional acumen to support a globally diverse department. The ideal candidate is a proactive problem-solver, with acute attention to detail and a strong desire to learn, as well as being adept at developing productive partnerships with executive leaders and teams.
This role allows for a mix of remote and in-office work at our global headquarters, which may fluctuate based on team travel, but will generally be 2-3 days in office per week.
Key Duties and Responsibilities
Maintain confidentiality and professionalism in the handling of sensitive and confidential information and documents Maintain daily calendars and own the scheduling process for all meetings for assigned managers Anticipate and proactively address scheduling conflicts to optimize time. Plan and organize business meetings and department events, including logistical support Coordinate sizable and complex domestic and international travel, providing travel support (typically remotely) during trips when necessary Manage and administer Travel and Entertainment expense reporting and process invoices Organize and maintain departmental files and supplies Prepare required correspondence and presentation materials for meetings Assist in various project related activities such as change management, communication, status reporting, etc. Provide support for HR onsite/offsite preparation, HR meetings, town halls and other management support activities Brings ideas and recommendations on how to make processes more efficient Opportunity to participate and get exposure to HR projects in workforce planning, talent management, DEIB, change management, employee listening, and HR communications
Minimum Education/Certification Requirements and Experience
Bachelor's Degree with 2 years of relevant experience; or Associates Degree in related discipline with 3 years of relevant experience; or High School diploma and 5 years of relevant experience Strong time management and organizational skills to handle multiple time-sensitive tasks Proven ability to handle multiple priorities while still maintaining a high-level of quality and accuracy Highly skilled with Microsoft 365 software such as Teams, Word, Excel, PowerPoint Experience with travel booking and reimbursement software, Concur experience strongly preferred Excellent verbal and written communication skills High level of professionalism, precision, and discretion Ability to handle confidential and/or sensitive information Ability to learn quickly, and strong attention to detail Willingness to learn, strive for constant improvement, and work as a team Strong interpersonal skills coupled with the ability to effectively network and partner throughout the organization Demonstrated problem solving and planning skills with the ability to plan, prioritize and execute various tasks and projects
Preferred Qualifications and Skills
Strong preference for 5+ years of relevant experience, such as prior administrative assistant, executive assistant, office or departmental coordination or human resources Strong analytical skills, with the ability to draw insights from data
