What will you be doing?

Handling incoming mail, including registered mail registration/scanning
Taking care of outgoing mail/packages
Answering the front door and reception of deliveries
Answering and transmitting incoming telephone calls
Responding to queries from the Diegem staff and external and referring them to relevant/correct parties for resolution if needed
Setting-up and coordinating meetings in the Diegem office
Setting-up meeting room for visitors
Be the single point of contact for the communication with the owner of the building concerning fire alarms coordination etc.
Be the single point of contact for works to be carried out in the Diegem office, such as repairs, plants, etc. + admin around this
Be responsible for the office supplies such as ordering coffee, paper, pencils, paper, envelopes,
Providing back-up administrative support and general clerical duties as required such as handling invoices, making purchase requisitions, e-form.
Help with Diegem office events (Christmas and other)

What are your skills ?

Proficient in Dutch, French and English, written and spoken
Enthusiastic, self-starter and articulate
Multi-tasking skills and customer orientation
High level of accuracy and with great attention to detail
Ability to follow policies and procedures
Strong time management and organization skills
Excellent MsOffice suite skills: Excel, Word, Powerpoint and Outlook
