LOCATION: Based on property at Muskoka Bay Resort, Gravenhurst, ON

 

 

Position Summary

 

The Manager of Conference and Events at Muskoka Bay Resort is responsible for coordinating and overseeing all aspects of conferences, meetings, weddings, and special events hosted at the resort. This position requires a detail-oriented individual with excellent organizational skills, strong interpersonal abilities, and a customer-focused approach. The Manager of Conference and Events plays a crucial role in ensuring the success of events while providing exceptional service to clients and guests.

Duties & Responsibilities

 

  • Work closely with clients to understand their event requirements, preferences, and budget constraints.
  • Coordinate all aspects of event planning, including venue selection, catering, audiovisual equipment, décor, and entertainment.
  • Create detailed event proposals, contracts, and timelines for clients, ensuring all expectations are clearly outlined and agreed upon.
  • Oversee the setup and execution of events, ensuring all elements are in place and running smoothly.
  • Act as the primary point of contact for clients throughout the planning process and during the event itself, addressing any concerns or requests promptly.
  • Coordinate with other resort departments, such as housekeeping, maintenance, and culinary, to ensure seamless event operations.
  • Conduct site visits with prospective clients, showcasing event spaces and discussing potential layouts and setups.
  • Cultivate strong relationships with clients, vendors, and industry partners to foster repeat business and referrals.
  • Anticipate client needs and preferences, proactively offering solutions and recommendations to enhance their event experience.
  • Conduct post-event follow-ups with clients to gather feedback and address any concerns or issues.
  • Additional duties as assigned by General Manager

Qualifications

  • Post secondary degree in hospitality management, event planning, business administration, or a related field.
  • 2-3 years of experience in event planning and coordination, preferably in a resort or hospitality setting.
  • Strong organizational skills and attention to detail, with the ability to manage multiple events simultaneously.
  • Excellent interpersonal and communication abilities, with a customer-centric approach to service.
  • Proficiency in event management software and Microsoft Office suite.
  • Leadership and team management skills, with the ability to motivate and inspire a diverse team.
  • Flexibility to work evenings, weekends, and holidays as required by event schedules.
  • Knowledge of local regulations and permits related to events and weddings is a plus.
