The Thermal Administrative Service Coordinator works with the Thermal Service and Service Sales Departments providing support for all matters related to Thermal Services backup service coverage. The primary goal of this entry level Coordinator is to handle administrative tasks for the Dispatchers to help them stay focused on the customer and technician requests. This is a high paced department with ever changing developments that requires working and communicating with all levels of the Company, high attention to detail, accurate and timely delivery of information while assisting with multiple responsibilities. This person will grow a basic understanding of the Thermal Service Department's responsibilities with the probability of career growth into different positions that become available. We are a hybrid workplace with 24 (out of 40 full-time hours) per week collaborating in the Bristol office. Come work for a nationally certified Great Place To Work Company!

WHAT YOU WOULD BE DOING

Provide backup dispatcher support for Thermal Service Technicians
Professionally answer the Thermal Service phone line and speak with customers
Create Thermal Service appointments in Company ERP system (Acumatica)
Confirm scheduled Service work for the week with customers
Maintain and organize Service documents and job folders
Review contracts for accuracy between the Company CRM platform (HubSpot) and the contract list
Update equipment listing, out of date, and incorrect information
Follow-up with the Service Sales Department to ensure bookings are up-to-date
Manage the Companys manufacturer portal including handling Service requests to perform work, submitting invoices for the work, collaborating with dispatchers to get repairs, maintenance, and service calls scheduled
Run, review and update open call lists and other department financial statements
MINIMUM REQUIREMENTS TO APPLY

High School Diploma is required, some college preferred
Prior dispatching experience required, HVAC/Mechanical dispatching experience preferred
Recent customer service experience including excellent phone etiquette experience
Experience with Customer Relationship Management (CRM) Systems
Attention to detail and strong organizational skills with experience working in a fast-paced environment
Good time management skills and experience working under pressure with multiple deadlines
Proficient with Microsoft Office Suite Excel, Word, and Outlook

The pay range is $22.60-$28.40/hr. plus quarterly bonus based on relevant experience.
